Somerset Hills YMCA is looking for a welcoming, vibrant, outgoing, leader to serve as our Membership Coordinator. The Membership Coordinator leads by example in delivering excellent customer service to all members, guests, and program participants. In collaboration with the Membership Director, they provide supervision of assigned staff including Member Service Representatives and Leaders on Duty. You not only build relationships and create belonging by being an ambassador of the Y's Welcoming and Inclusive Culture but are also responsible for advancing the organization's Cause-Driven initiative, problem solving, and performing computer/administrative tasks to best serve the branches' 10,000 members. This job is fully on-site, not remote.
Position Summary:
The Membership Coordinator leads by example in delivering excellent customer service to all members, guests, and program participants. In collaboration with the Membership Director, they provide supervision of assigned staff including Member Service Representatives and Leaders on Duty. You not only build relationships and create belonging by being an ambassador of the Y's Welcoming and Inclusive Culture but are also responsible for advancing the organization's Cause-Driven initiative, problem solving, and performing computer/administrative tasks to best serve the branches' 10,000 members.
Essential Functions:
- Responds to member and guest requests, promotes memberships and programs, and works with Senior Membership Reps in maintaining cleanliness and organization of the Welcome Center and membership storage areas throughout the facility.
- Works as the primary Cause Driven Leader on duty by role modeling YMCA language, departmental expectations, phone demeanor, and member relations.
- Works with Membership Director on recruiting and hiring new staff as needed for both Welcome Center and Kids Corner.
- Coordinates schedules for all membership and Kids Corner staff, serving as the primary contact for shift coverage.
- Provides initial and ongoing training and development to all staff as the department’s primary trainer. Develop strategies to motivate staff and achieve goals.
- Assists the Membership Director with reviews and evaluating staff performance. Coordinates membership administrative activities including but not limited to membership edits, returned membership dues, auditing daily membership sales and guest entry, monthly renewal statements.
OTHER DUTIES
- Produces regular membership reports on retention, recruitment, etc.
- Weekly tour conversion and recruitment tracking
- Weekly termination and retention tracking
- Monthly memberships on hold follow up report
- Monthly facility usage reports to insurance companies
- Monthly Membership Branch Summary Reports
- Additional reporting as assigned
- Follow up with SRMSR regarding new members throughout 30,60,90 days
- Use Listen First to respond to member and staff concerns and communicate as needed with supervisor.
- Records minutes at membership staff meetings
- Assists with conducting Cause Driven Tours to prospective members, visitors and program participants.
- Supports program registration on and between registration dates and assists in implementing logistics to support phone, walk-in, and web-based registrations.
- Ensures proper implementation of front desk procedures. Will communicate needed changes to the Membership Director and assist in developing standard operating procedures.
- Assists director with Volunteer Matters.
- Assists in the planning and executing of member appreciation events.
- Supports the YMCA Annual Fundraising Campaign.
- Attend meetings as assigned.
- Performs all other duties as assigned by supervisor.
- Associate’s degree and at least one year of member/customer service experience OR equivalent combination of education and related experience.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) or similar programs.
- Proficient in computer software applications related to YMCA program registration.
- Ability to manage a high volume of administrative support services with absolute confidentiality.
- Strong customer service, computer, writing and communication skills.
- Ability to multi-task, prioritize, problem-solve and provide conflict resolution.
- Able to work independently without direct supervision and in a team environment.
- Flexible in adapting to changing situations, procedures, and varying situations.
- Experience with diverse population.
- Fundraising experience a plus.
- Bilingual and multicultural experience a plus.
- Able to work a non-traditional workweek (i.e. early morning, late evenings, weekend).
Somerset Hills Branch Membership Hours:
Sunday: 6:45 am – 8:15 pm
Monday-Friday: 4:45 am – 10:15 pm
Saturday: 5:45 am – 8:15 pm
This position will be scheduled for 8 hour workdays with an unpaid half-hour break during each shift.

WORK ENVIRONMENT & PHYSICAL DEMANDS:
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to use a computer for extended periods of time and be able to communicate using a computer and phone/smart device. The employee frequently is required to sit and reach and must be able to move around the work environment. The employee may occasionally lift and/or move up to 30 pounds. Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust. The noise level in the work environment is usually moderate. Sufficient strength, agility, and mobility to perform essential functions of position and to safely supervise children’s activities.
