Missions Assistant
Description

Job Summary:

Perform administrative duties required to carry out the priorities of the GABC Missions Team. 


Supervisory Responsibilities:

  • None.

Duties/Responsibilities:

  • Answer, screen, and route incoming phone calls in a professional and timely manner. 
  • Distribute in-office mail to Missions Team.
  • Respond promptly to emails, including those sent to the missions@gabc.org inbox.
  • Assist with Benevolence Ministry phone calls and requests. 
  • Coordinate hospitality needs including accommodations, meals, and scheduling for visiting guests.
  • Prepare check requests for Missions Team.
  • Manage credit card transactions related to mission trips, merchandise, and other missions-related purchases. 
  • Monitor and replenish office supplies, ensuring necessary resources are always available.
  • Reconcile and prepare credit card statements for the Missions Team. 
  • Manage Missions Team office calendar, ensuring alignment across staff, events, and trips. 
  • Maintain and coordinate the Missions Pastor’s calendar, including scheduling meetings and informing the Missions Pastor of upcoming meetings and events. 
  • Coordinate meal arrangements for Missions gatherings and events. 
  • Manage all Missions reservations in ROCK.
  • Manage the scheduling and usage of the Missions House for guests and ministry events. 
  • Provide administrative support as needed for Prison Ministry.
  • Assist with updating/maintaining trip information in Managed Missions, entering payments for participants, and tracking trip costs.
  • Prepare agenda for weekly team meetings.
  • Assist church members/volunteers as needed.
  • Provide on-site support for missions-related events as needed. 
  • Serve as a flexible and collaborative administrative partner to the Missions Team, providing assistance as needs arise. 
  • Maintain a high level of discretion, professionalism, and confidentiality in all responsibilities.

Requirements

  • Proficient with Microsoft Office Suite or related software. 
  • Must pass criminal and sexual misconduct background checks. 


Education and Experience:

  • High school diploma or equivalent.
  • At least two years related experience required. 


Physical Requirements: 

  • Prolonged periods of sitting at a desk and working on a computer. 
  • Must be able to lift 15 pounds at times.
