Feeding America Eastern Wisconsin is the leading local hunger-relief organization in the state with locations in Milwaukee and Appleton. Founded in 1982 by the Rotary Club of Milwaukee, Feeding America Eastern Wisconsin is a local and independent member of the Feeding America network. Together with our network partners, we serve nearly half a million food-insecure people across 35 counties in eastern Wisconsin each year. The Food Systems Project Coordinator provides project coordination, administrative, and operational support to food systems initiatives within Feeding America Eastern Wisconsin. This role maintains project documentation, tracks schedules and deliverables, supports reporting and compliance requirements, and facilitates day-to-day operations.
The Food Systems Project Coordinator ensures consistency, accuracy, and reliability in project execution while supporting the project and program team, which focuses on planning, stakeholder management, and delivery. Strong organizational skills, attention to detail, and the ability to manage multiple initiatives in a mission-driven environment are essential.
- Perform accurate and timely data entry for food systems programs.
- Maintain organized digital and physical files for program documentation.
- Prepare and compile reports for internal teams and external stakeholders.
- Assist with procurement, invoice processing, and vendor communications.
- Track deadlines for grant reporting and assist with compliance documentation.
- Communicate effectively with staff and community partners.
- Provide coordination support for assigned projects, including meeting logistics, documentation, and follow-ups.
- Maintain project documentation, schedules, trackers, and status updates.
- Support preparation of agendas, meeting notes, and project communications.
- Track project milestones and deliverables, escalating risks or delays as needed.
- Serve as a point of contact for project-related inquiries.
- Coordinate with departments to align project activities with organizational priorities.
- Contribute to process improvements and adoption of standardized tools.
- Provide high-quality customer service to internal and external stakeholders.
- Perform other related duties as assigned.

MINIMUM QUALIFICATIONS:
- Commitment to support FAEW’s mission, vision, and efforts to end food insecurity, with respect for the people and communities we serve.
- Bachelor’s degree from an accredited university or equivalent work experience, preferred.
- Prior experience in project coordination, administrative, or operations roles preferred.
- Strong organizational, time-management, and data management skills, with high attention to detail and accuracy.
- Excellent written and verbal communication skills, with the ability to work effectively both independently and in cross-functional team environments.
- Ability to manage multiple projects and shifting priorities in a fast-paced, mission-driven setting.
- Proficiency with Microsoft Office applications and the ability to learn and adapt to new software technologies.
- Self-motivated, adaptable, and solution-oriented with a positive, team-focused mindset.
- Demonstrated ability to work effectively with individuals from diverse cultural and socioeconomic backgrounds.
- Ability to work safely in accordance with FAEW safety procedures.
- Valid driver’s license, automobile insurance meeting Feeding America Eastern Wisconsin’s liability requirements, and reliable transportation.
- Ability to work evenings and weekends as needed.
