Description

The Agency Relations Coordinator (ARC) will act as a liaison between Food Share and partner agencies to ensure the effective, efficient, and equitable distribution of products to those in need in accordance with agency/distribution partner agreements, USDA, Feeding America, and food safety guidelines. Food Share depends on the agencies’ help to move over 21 million pounds of food annually.  

Requirements

  ESSENTIAL FUNCTIONS

  • Assists in maintaining oversight of, and day-to-day relations with, member agencies      and the food bank, including coordination with all Food Share departments.
  • Assists in conducting participating agency relations meetings.
  • Responsible for the proper implementation of all food recall notices for participating agencies and distribution partners, in collaboration with designated Operations and/or Warehouse Food Share Safety Team members.
  • Ensures a high level of community satisfaction, including timely responses to community inquiries.
  • Assists with screening and orienting of new agencies. This involves a full review of agency's eligibility, completion of all member agency applications and forms, a site visit for monitoring and approval of inclusion as a Food Share agency.
  • Creates the annual monitoring schedule (dates and times) for all sites and tracks SERV-Safe certification expirations. Ensures all agencies comply with Food Share agency/distribution partner agreements, USDA and Feeding America requirements, and food safety guidelines. Maintains and updates participating agency/distribution partner files accordingly.
  • Assists with monitoring, training, and supporting agency staff and volunteers.
  • Assists in collecting demographic data for reporting purposes.
  • Responsible for compiling, updating, and sharing the current participating agency list with Food Share departments, the shared network, and community agencies that provide food assistance referrals (e.g., 211).
  • Assists the Retail Coordinator and Warehouse Food and Fleet Manager in resolving participating agency/distribution partner food pickup and delivery schedule issues.
  • Assists in reconciling agency/distribution partner reports and forwards all agency-related complaints, grievances, and potential disciplinary matters to the Agency Relations Manager.
  • Collaborates with Operations to ensure efficient product distribution, which may include occasional invoicing.
  • Compiles monthly data from participating agencies/distribution partners and analyzes recommended adjustments to product levels based on projected inventory needs.
  • Ensures dissemination of the most current USDA, Feeding America, and Food Share forms, information, regulations, and policies.

  • Knowledge of food bank operations is preferred.
  • Nonprofit experience preferred.
  • Experience with ERP systems, Microsoft Office, and web-based reporting systems preferred.

JOB QUALIFICATIONS

  • Minimum of a high school diploma or GED required; college degree preferred.
  • Bilingual English/Spanish required.
  • Ability and willingness to provide personal, reliable transportation.
  • Ability to work occasional nights and weekends as needed.
  • Valid Driver’s License and proof of current vehicle insurance required.
  • Insurable driving record under our company’s auto insurance policy required.

PHYSICAL REQUIREMENTS

  • Must be comfortable working in an office environment for extended periods.
  • Prolonged periods of sitting at a desk and working on a computer.
  • You must be able to access and navigate all departments within the organization’s facilities, including climbing stairs.
  • Must be able to lift up to fifty (50) pounds occasionally.
  • Travel off-site as needed.
