Title: Facilities and Pond Coordinator 

FLSA Status: Nonexempt

Reports to: Manager, Community Assets  

Location: Kissing Tree – San Marcos, Texas


Summary

The Facilities & Pond Coordinator plays a critical role in supporting Cohere’s values, vision, and commitment to exceptional community experiences. This role is responsible for coordinating day-to-day facilities operations and pond and water feature oversight, ensuring community amenities and common areas are maintained to high standards of safety, compliance, and functionality.

This position requires a proactive, organized, and people-centered professional who can partner effectively with residents, vendors, internal leaders, and regulatory entities. The Coordinator will monitor operational needs, support maintenance and repair activities, and ensure proper documentation and communication related to facilities and pond management.


Scope

· Coordinate and monitor on-going facility maintenance and installation projects.

· Anticipate, analyze and resolve operational problems in a timely manner.

· Respond to inquiries from community stakeholders regarding facilities maintenance protocol and concerns.

· Coordinate and monitor facility service, maintenance and renovation projects including pools and water features.

· Coordinate routine inspection, maintenance, and servicing of community ponds and water features.

· Assist with monitoring pond conditions for regulatory compliance, including water quality, vegetation management, erosion, and drainage concerns.

· Utilize site plans, maps, and aerial imagery to track pond locations, outfalls, easements, and service areas.

· Establish and maintain working relationships with pond maintenance vendors and applicable City or regulatory contacts.

· Support communication with the Manager, Community Assets and Director regarding pond conditions, compliance needs, recommended corrective actions, and prioritization.

· Assist with documenting pond maintenance activities, vendor reports, and compliance-related correspondence.

· Anticipate, analyze and resolve field operational problems in a timely manner.

· Assist with scheduling, repairing, maintaining all structures, amenities, lighting, etc. that may fall under the responsibility of the Association.

· Assist with amenity inventories.

· Assist in record keeping of turnover documentation from the Developer to the Association.

· Assist with processing facilities related expenses for payment.

· Assist the Manager, Community Assets with preparing master contract documents, addendums and change orders for landscape and facilities related contracts.

· Ensure collection, tracking and verification that contracted vendors are in compliance with insurance requirements.

· Assist Manager, Community Assets with electronic filing of documents in SharePoint and the community website.

· Attend after-hours meetings and events as needed.

· Other responsibilities as assigned.

Knowledge | Experience

· High School diploma or GED required; College coursework and/or skill-based technical training is required.

· Education or experience in landscape management, construction, arboriculture, water management, facilities management, building trades, and swimming pool maintenance is highly desired.

· Solid knowledge of plant palettes common to a Texas landscape preferred.

· Ability to communicate effectively with a team of skilled and technically trained consultants and contractors. Fluency in Spanish a plus but not required.

· Ability to work in a team environment and on multiple projects simultaneously.

· Proficient in Microsoft Excel, Word, databases and various project applications.

· Maintain CPR, First Aid and AED certifications.


Work Environment

· The Facilities and Pond Coordinator should expect to work a flexible schedule, including evenings, weekends, and some holidays.

· Field-based role with regular on-site presence across amenities and common areas

· Physical demands include standing, walking, and light lifting as required by the role.

Job Type: Full-time

Pay: $23- $26 per hour
