Unit Coordinator
Description
  Full-time/Robust Benefits Monday–Friday, 8:30 AM–5:00 PM, with a rotating late week every six weeks (10:00 AM–6:30 PM).

 The Unit Coordinator is responsible for performing a variety of clerical functions to support the providers and patient care staff. This position enters patient calls/messages into the Electronic Medical Record database, ensure patient medical records and information that is needed is available and documented, schedules patient appointments and prepares applicable medical record forms. The Unit Coordinator answers phone calls and relays messages to care team members and other resources necessary for patient care.


Essential Duties and Responsibilities: 


Coordinates activities of Diagnostic Imaging Department to support provider and patient care staff.

  

  • Serves as subject matter expert on exam preps, times, and requirements for all modalities within the imaging department
  • Registers Imaging patients
  • Effectively uses multiple systems (Phone, email, etc) for both routine and emergency communications
  • Demonstrates ability to provide care or service, adjusting approaches to reflect developmental levels and cultural differences of population served


Schedules exams appropriately

  

  • Monitor provider and modality schedules to ensure appropriate scheduling levels
  • Coordinates with Radiologist and technical staff to maximize the number of available appointment openings exams accurately and in a timely manner
  • Assists with exam protocol verification
  • Works with prior authorization staff to ensure exam appropriateness


Performs telephone, refills and order encounters or direct communication with care team in a timely fashion to meet patient needs including requesting/obtaining patient reports as necessary. 

  

  • Serves as one of the primary customer service providers in the Imaging department
  • Ensures office supplies are ordered and stocked as appropriate
  • Responsible for the comfort and safety of patients in the Imaging waiting room

Requirements

Education & Licensure:

  • High school graduate or equivalent
  • Associate Degree in related field preferred  
  • Completion of Medical Secretary Training or Medical Assistant Training preferred
  • CMA Certification preferred

Experience:

  • One year of experience in customer service, patient registration, or other similar role in a healthcare setting
  • Three or more years preferred

Knowledge, Skills & Abilities:

  • Ability to prioritize and handle multiple tasks
  • Ability to think independently and make decisions as necessary
  • Excellent customer service skills
  • Flexible, and able to fill different roles as needed
  • Comfortable with computers; ability to adapt and learn new software platforms
  • Excellent communication and listening skills
  • Demonstrated ability to work independently with little direction and manage multiple demands and priorities
  • Ability to maintain confidentiality 


Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
