Job Summary: The Operations Administrator Assistant plays a critical role in coordinating daily service operations for our technicians. This position is responsible for scheduling field service technicians, managing customer communications, maintaining accurate service records, and ensuring compliance and efficiency assisting the Operations Manager.

This is a fast-paced, high-responsibility role requiring excellent organizational skills, strong communication abilities, and the capacity to remain calm and professional when handling urgent service requests or challenging customer situations.

Essential Duties & Responsibilities

· Schedule recurring fire protection inspections, testing, and service calls in accordance with contracts, AHJ requirements, and applicable NFPA and local fire codes.

· Build and manage daily technician schedules to support labor efficiency, geographic routing, and departmental daily and weekly gross profit goals.

· Optimize technician routes to minimize travel time and maximize billable service hours, adjusting schedules in real time for emergencies, weather conditions, cancellations, or staffing changes.

· Upload, track, and manage inspection, testing, and service reports through compliance engines, AHJ portals, and water authority systems, ensuring accuracy and timely submission.

· Monitor scheduled versus completed work and communicate variances, delays, or concerns to the Operations Manager and leadership team.

· Assist the Operations Manager and operations staff with service job coordination, including quoting support, material ordering, vendor purchase orders, job documentation, and billing readiness.

Requirements

  

Required Qualifications: 

· Minimum of 2 years of experience in scheduling, dispatching, or operations support within the fire prevention, fire protection, life safety, or a similarly regulated service industry.

· Demonstrated understanding of AHJ requirements and the importance of compliance with applicable NFPA and local fire codes.

· Proven ability to manage and adjust technician schedules in a fast-paced environment while balancing customer commitments, labor efficiency, and operational priorities.

· Experience working with service management software, inspection reporting systems, or compliance portals.

· Strong communication skills with the ability to interact professionally with technicians, customers, AHJs, and internal management.

· High level of organization and attention to detail, particularly related to documentation, reporting accuracy, and regulatory compliance.

  

Preferred Qualifications:

· Prior experience in fire prevention, fire protection, life safety, sprinkler, alarm, or a similarly regulated service or construction industry.

· Working knowledge of AHJ requirements, NFPA standards, and local fire and building codes.

· Experience scheduling and dispatching field technicians while balancing efficiency, compliance, and customer expectations.

· Familiarity with inspection reporting systems, compliance portals, and service management software.

· Strong organizational, communication, and problem-solving skills with the ability to multitask in a fast-paced operational environment.

· Proficiency with Microsoft Office (Outlook, Excel) and comfort working with digital records, reports, and customer data systems.
