Position Summary:
The Benedictine College School of Osteopathic Medicine seeks a highly organized and detail-oriented Administrative Assistant to provide high-level administrative support to the Dean, faculty, and staff. This role will support the accreditation process, coordinate and plan travel for faculty and staff, and ensure smooth daily operations. The ideal candidate will be experienced in medical education or other professional school, possess strong writing and editing skills, and manage schedules, communications, and records to support the school’s mission and objectives.
Essential Functions:
- Provide comprehensive administrative and operational support to the Dean and School leadership, including calendar management, correspondence, document preparation, and coordination of daily activities.
- Coordinate meetings, events, and special projects for the School of Osteopathic Medicine, including high-level leadership meetings, preparation of materials, and follow-up on action items.
- Support accreditation activities by organizing documentation, tracking deadlines, and coordinating preparation and submission of required materials.
- Assist in monitoring and processing budget, reimbursement, and compliance-related documentation while maintaining accurate financial and administrative records.
- Serve as a primary point of contact for students, faculty, staff, and external stakeholders, ensuring clear communication and professional representation of the School.
- Maintain organized records, databases, and filing systems, ensuring confidentiality and compliance with institutional policies and accreditation requirements.
- Supervise and coordinate assigned student workers and assist in managing administrative workflows to support efficient school operations.
- Plan and coordinate travel arrangements and logistics for faculty, staff, and visiting professionals in accordance with institutional policies.
- Draft, edit, and prepare reports, presentations, and communications to support the work of the Dean and School leadership.
- Exercise independent judgment in prioritizing administrative and operational matters and perform other duties as assigned in support of the mission of the School.
Position Qualifications:
Experience:
- At least 5 years of administrative support experience, preferably in a medical or educational environment.
- Familiarity with medical school or professional school is a significant plus.
- Previous experience with accreditation processes is a bonus.
Skills & Abilities:
- Strong organizational and time management skills.
- Ability to manage multiple tasks and deadlines in a fast-paced environment.
- Exceptional written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint, OneDrive).
- Willingness to research and utilize platforms to ensure efficient processes.
- Ability to plan and coordinate complex travel arrangements.
Writing Skills:
- Ability to write and edit at a professional level.
- A writing evaluation may be conducted for finalists to assess writing proficiency.
Education:
- Required: High school diploma or equivalent.
- Preferred: Associate degree or higher in business administration, healthcare administration, or a related field.
