Description

We are looking for an organized, hardworking, team player to join our team. The Projects Coordinator oversees the process of custom products and project lines, including, but not limited to, the pre-planning stage, the initial meeting, and all follow-up with the customer projects as assigned, from the time when plans and creative concepts are created, until they are shipped to our customer. Effective communication with other departments is key, as custom projects are not within our normal core line and have a different sense of urgency and uniqueness; the timelines are much more condensed and must be quickly coordinated to ensure the customer's needs are met or exceeded.


ESSENTIAL DUTIES AND RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The following is an overview of the main duties for this position and is not all-inclusive of each task that may be performed in this role.

  • Timing and scheduling of the aspects of product planning and development for assigned projects
  • Works with all divisions and product development support units within our organization, such as purchasing, operations, creative resources, marketing, sales, suppliers, Sara Rose International (SRI), and customers
  • Coordinate and send detailed requests to the art studio, ensuring clarity of requirements, deadlines, and project specifications to facilitate accurate and timely deliverables.
  • Proactively follow up on requests from other departments to ensure timely completion, addressing any delays or obstacles to maintaining project schedules and operational efficiency.
  • Manage the sending and receiving of samples both internally and externally
  • Submission of art requests to Studio via appropriate software (Wrike and/or Centric)
  • Perform item setup and ongoing maintenance of line plan items within the system of Zak internal and customer’s platform
  • Other duties as assigned

  • Associate degree (A. A.) or equivalent from a two-year college or technical school and/or six months to one-year related experience and/or training; or equivalent combination of education and experience.
  • Maintain exceptional organization by prioritizing tasks, managing multiple projects simultaneously, and ensuring all deadlines and deliverables are met with accuracy and efficiency.
  • Ability to communicate both verbally and non-verbally with active listening and written communication skills.
  • Ability to effectively interact in one-on-one and small group situations
  • Demonstrate adaptability by effectively managing shifting priorities, embracing new challenges, and adjusting to changing business needs in a fast-paced environment.
  • Ability to balance and prioritize projects in a manner that will allow for prompt completion of the task.
  • Must be able to tactfully deal with various personalities throughout the company and deal effectively and professionally with internal and external customers.
  • Required program applications include Microsoft Outlook (intermediate level), Microsoft Excel (intermediate level), Microsoft PowerPoint (intermediate level).
