Auxiliary Program Administrative Assistant
Description

The Auxiliary Program Administrative Assistant is a full time position and is responsible for supporting the

daily operations of all Auxiliary Programming; Before & After School Programs, Summer Camps, and

Facility Rentals. This position reports to the Director of Auxiliary Programs. This role will be on campus

Monday through Friday and the hours are 9:00 a.m. to 5:00 p.m. and there may be some need for

flexibility.


Compensation: $60,000-$62,000 per year


Responsibilities:

  • Oversee auxiliary program and facility rental vendor and client bookings and logistics
  • Review and screen auxiliary program vendor and facility rental inquiries
  • Oversee staff coverage schedules
  • Maintain departmental calendars
  • Reserve and coordinate program space
  • Manage and update all program and rental permits and licenses
  • Post and update informational materials for all auxiliary programming including summer camps
  • Manage online registration systems for auxiliary programs including summer camps
  • Draft program communications
  • Manage logistical communications with families and employees
  • Order inventory and maintain program supplies

Requirements
  • Bachelor’s degree from an accredited college or university
  • Has a passion and ability to connect with students at the preschool/elementary/middle school age level (3-15 years old)
  • Excellent interpersonal skills
  • Strong communication skills verbally and in writing
  • Proficiency in Excel and GSuite
  • Proficiency with database management systems. Knowledge of CampBrain, SchoolPass, Blackbaud, Square, and Smartwaiver is a plus.

Physical Requirements:

  • Ability to stand, sit, walk, bend, squat, kneel, climb, reach, and perform repetitive hand and body movements
  • Ability to lift students as required and maintain stamina to stand for extended periods
  • Capacity to respond effectively in emergency situations
