As a Commercial Executive Administrator, your primary function is to provide high-level administrative and operational support to the Commercial Office Leasing team. This includes managing lease documentation, coordinating renewals, supporting reporting functions, and ensuring smooth day-to-day operations within a fast-paced commercial real estate environment.


What we would like from you:

  • High school diploma required; college degree preferred
  • Minimum of 5 years of related administrative or commercial real estate experience
  • Proficient in Microsoft Word, Excel, and Outlook (experience with Yardi, Zoho, and Costar preferred)
  • Minimum of 5 years of related administrative or commercial real estate experience
  • Proficient in Microsoft Word, Excel, and Outlook (experience with Yardi, Zoho, and Costar preferred)
  • Draft, redline, and process lease proposals, letters of intent, and lease agreement
  • Collaborate with leasing and legal teams to format and finalize lease documents
  • Draft and manage monthly renewal letters based on broker-provided terms, ensuring approval, mailing, and digital distribution.
  • Track renewal timelines and maintain accurate reporting and CRM updates
  • Prepare and maintain reports including vacancy, renewal, tenant roster, and prospect reports.
  • Assist with preparation and review of invoices, commissions, and expense tracking. 
  • Coordinate tenant communications, welcome materials, and engagement initiatives
  • Support marketing efforts including updating property listings, materials, and communications.
  • Maintain CRM database and assist with marketing campaigns
  • Provide administrative support including calendar management, meeting coordination, travel arrangements, and office operations.
  • Maintain and organize filing systems and ensure accuracy of documentation
  • Ability to prioritize tasks, meet deadlines, and manage multiple responsibilities.
  • Strong communication skills with the ability to interact professionally with tenants, brokers, and internal teams.
  • Detail-oriented, dependable, and able to maintain confidentiality
