Tribal Enrollment Technician

Pay Grade(s): 7 ($25.01+/Hour DOE
Purpose: The Enrollment Technician will handle all aspects of the Tribal Enrollment process including enrollment applications, ID affidavits, certification letters, certification of enrollment etc. Incumbent will provide application related data entry and file management support.
Essential Functions. An individual in this role must be able to perform the following functions with or without reasonable accommodation:
• Review and understand the enrollment application requirements and procedures for tribal enrollment.
• Receive and review program applications and forms for completion and the presence of required attachments.
• Handle all aspects of Photo ID’s, certification letters and verification forms for all tribal citizens.
• Provide support to Tlingit & Haida programs by assisting in uploading required documents to database.
• Serve as a resource person for the public by providing information requiring interpretation and explanation of tribal enrollment and a working knowledge of all department services. Refer difficult inquiries to appropriate personnel. This may require considerable tact and discretion in sensitive areas.
• Assist clients on a walk-in basis to determine the nature of their need and provide them with an appropriate program application.
• Assist prospective clients by explaining steps, appropriate forms, procedures, and program requirements for services, and other program activities.
• Maintain positive communication with all clients and employees.
• Maintain confidentiality.
• Provide a full range of basic clerical duties, such as photocopying, faxing, scanning, filing, and assembling and distributing materials.
• Type or produce reports or correspondence utilizing word processing, spreadsheet, and other business software.
• Perform complex data entry tasks for which there is a variety of formats and procedures and with general instructions for coding and entering data, check, and correct entry for input errors.
• Gather and compile statistical information and prepare regular and recurring reports. This may involve researching files, contacting clients or vendors, or other outside sources to obtain missing information or to correct the information.
• Develop database, spreadsheet, or word processing record and report applications requiring understanding of the software programs, and program data requirements to generate the necessary reports to accommodate new informational needs.
• Assist with special projects as assigned.
• Other related duties as assigned.
Knowledge, Skills & Abilities. A comprehensive set of capabilities required to perform job tasks effectively:
• Knowledge of Tlingit & Haida’s tribal elections.
• General knowledge of all the programs operated by Tlingit & Haida.
• Working knowledge of the parameters and application requirements for Tlingit & Haida programs.
• Considerable knowledge of correct business practices, correspondence, and typing formats, including English grammar, composition, spelling, and punctuation.
• Ability to read and comprehend regulations, procedures, and policies; apply them to specific situations; and explain them to the public and others.
• Ability to speak, write, listen, and communicate effectively, meet, and deal effectively with the public, establish, and maintain cooperative working relationships.
• Knowledge of computer software applications including MS word Excel, Outlook, Power Point, and Access or other database programs.
• Ability to work independently and prioritize workload.
• Ability to organize, plan and maintain confidential records.
• Conflict resolution skills.
• Ability to search, select, compile, and summarize data and information.
• Ability to compare data for completeness, identify any discrepancies or inaccuracies and make the necessary corrections.
• Familiarity with Tlingit, Haida, and Tsimshian cultures.
Minimum Qualifications (education, experience, skills):
• High School Diploma or GED.
• Two (2) years of clerical experience.
Preferred Qualifications (education, experience, skills):
• One (1) year experience as an Eligibility Technician or equivalent position.
Physical Requirements. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job with or without reasonable accommodation:
• The majority of work is performed in a professional office setting. It is generally sedentary, requiring routine walking, standing, bending, and carrying items weighing less than 40 lbs. Heavy lifting of up to 70 lbs. may be necessary on occasion.
Work Environment. The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job:
• Some travel may be required on small aircraft or ferry.
• Certain positions at Tlingit and Haida may have exposure to certain hazardous materials or conditions. The supervisor will review these if applicable.
