Position Summary
The Office Operations & Administrative Coordinator ensures the Bellevue, WA office runs smoothly while supporting employee engagement and providing coordination support to leadership. The role also supports consistency in office operations and employee experience across all Brook locations across the country, partnering with local teams to align on key administrative support and initiatives.
The position is focused on execution, organization, and reliability—managing logistics, coordinating activities, and supporting an engaging and well-run office environment. Success is defined by strong follow-through, attention to detail, and the ability to keep both the office and leadership support needs running seamlessly.
Key Responsibilities
- Office Operations: Manage day-to-day needs for the Bellevue office, including supplies, ordering snacks and weekly lunches, vendor coordination, space upkeep, and overall office experience
- Employee Engagement: Coordinate in-office activities, team events, and engagement moments, while helping ensure consistency in employee experience across Brook locations
- Cross-Office Coordination: Partner with teams in other Brook offices to align on office operations, engagement activities, and shared practices
- Leadership Coordination: Support scheduling, meeting coordination, and logistics for leadership team members
- Meeting & Event Support: Coordinate internal meetings, leadership sessions, and office events, including logistics and on-site support
- Vendor & Facilities Management: Serve as the point of contact for office vendors, building management, and service providers
- Administrative Support: Provide general administrative support, including document preparation and expense coordination
- Communication & Follow-Through: Ensure clear communication on logistics and deadlines; follow through on tasks to completion

- Experience in a high-growth or fast-paced environment
- Experience working with tools including Notion, Zoom, Slack, Google Drive and/or Microsoft Office

This position is not eligible for relocation or visa sponsorship. Candidates must live within a commuting distance from the office. This is a hybrid role, onsite in the office required weekly along with remote work.
