Job Summary:
The Administrative Assistant facilitates the efficient operation of the department by performing a variety of clerical and administrative tasks. This role supports staff through routine communication, document preparation, and maintaining organized office processes.
This position reports directly to the Chief Case Management Officer and the Director of Operations Efficiency.
Supervisory Responsibilities:
This position has no direct supervisory responsibilities.
Duties/Responsibilities:
- Support the credentialing process for physicians by coordinating the collection, verification, and submission of required documentation.
- Monitor and maintain up-to-date records of all clinical staff licenses and certifications.
- Oversee user access to client partner electronic medical record (EMR).
- Provide day-to-day administrative support to the assigned department or leader(s).
- Maintain assigned electronic and physical filing systems.
- Retrieve and compile information from records, email, and other documents as requested.
- Respond to routine administrative inquiries and direct more complex issues to appropriate staff.
- Coordinate and schedule meetings, appointments, and travel arrangements for assigned staff or leaders.
- Prepare meeting agendas and coordinate meeting logistics.
- Provide backup administrative support for other administrative support staff in their absence.
- Other duties as assigned.
Required Knowledge/ Skills/Abilities:
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Proficiency in operating general office equipment.
- Excellent organizational and communication skills.
- Clear and professional written and verbal communication.
- Able to manage time effectively and meet deadlines.
- High attention to detail, accuracy, and follow-through.
- Basic understanding of clerical procedures and systems such as recordkeeping and filing.
- Maintains professional and respectful interactions in various office settings.
- Ability to work independently and collaboratively in a fast-paced environment.
Education and Experience:
- High School Diploma required.
- Associate’s degree preferred.
- Prior administrative or office support experience preferred.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
