SUMMARY OF POSITION
The Donor Growth, Data, and Systems Administrator reports to and supports the Chief Development Officer by developing and managing internal processes, software, resources, data, and business intelligence to maximize Springs Rescue Mission’s donor ministry’s stewardship of donor relationships.
DUTIES & RESPONSIBILITIES
- Database Administration
- Oversees over 100,000 person donor database and sets standards of data integrity
- Manages safety protocols for donor data and ensures system is optimized to serve donors and development team strategies
- Controls and manages user access to database
- Plans for and backs up SRM data (minimizes data disruption)
- Oversees and manages database systems, vendors, and consultants who aid in SRM achieving its goals
- Maintains PCI compliance in all record-keeping and gift processing procedures
Business Systems and Processes
- Develops processes and procedures to ensure team members utilize data and data systems accurately and fully
- Develops systems and procedures to ensure development teams are capturing strategic data
- Communicates with CDO, Marketing Director and Development Director about system needs, processes and maintenance
- Assists Development team with donor software integration
- If needed, oversees migration to new donor database platform
- Researches ways to leverage and improve systems to increase productivity
- Serves as liaison between development and finance departments
- Ensures gift processing accuracy
- Reconciles revenue
- Assists CDO in developing revenue and expense forecasts
Donor Movement Strategy
- Seeks to understand donor giving patterns through data; providing insight that can turn into action for Marketing and Donor Development
- Serves as a catalyst for development team’s actions by providing actionable assignments to further department goals
- Develops motivation codes for team activities to ensure gifts are processed in a way to understand donor response
- Develops or facilitates RFM and Predictive modeling to attempt to get the right message to the right donor at the right time.
- Grows with the team in defining and measuring donor journey metrics
Reporting
- Extracts data and creates charts, graphs, reports utilizing database system, Tableau, or Microsoft BI to highlight SRM’s fundraising strengths, weaknesses, and opportunities
- Develops business reports to share with CDO on weekly, monthly, quarterly, and yearly basis.
- Develops dashboards for development team
- Develops systems to capture expense to revenue ratios
- Create weekly and monthly report highlighting successes and overall scoreboard
- Develops RFM and Predictive modeling to attempt to get the right message to the right donor at the right time.
SKILLS AND QUALIFICATIONS
- Christian with a compassion for homeless, addicted, impoverished
- Detail and process oriented with strong understanding of systems and databases
- Understanding of and ability to produce common business metrics
- Able to learn new systems or lead organization in embracing new systems
- Able to order and prioritize work-flow to achieve required results within defined time-frame
- Skilled and proficient in Raiser’s Edge, comparable database or CRM preferred
- Superior knowledge of SQL
- Computer literate and proficient in Microsoft Excel a must
- Attention to detail and good organizational skills
- Good communication skills – verbally in person and on the phone
- Familiar with PCI compliance guidelines
- Able to read, write, and perform mathematical computations
- Expert in visualizing data through charts, graphs, etc.

EDUCATION/EXPERIENCE:
- Bachelors degree + 5 years of engineering, database, or business systems management
- Previous experience organizing, scheduling workflow
- Previous experience working for a non-profit organization
- Statistical Business Analyst (SAS) certification preferred
- Expert in databases and SQL
* Salary & benefits include the following: $55,000 - $62,500 per year, DOE.
