Pre-Installation Coordination 

• Serve as the primary contact for VP calls, financing questions, and customer communication. 

• Confirm payment type, process down payments, and ensure financing is fully approved before scheduling. 

• Order equipment/materials, verify availability, and coordinate with the warehouse team.

• Ensure all sales and installation checklists are complete and accurate. 

• Pull permits, schedule inspections, and confirm permit fees are included in estimates.

• Schedule installation dates once all prerequisites are met. 


Post-Installation Administration 

• Submit Xcel rebate paperwork and AHRI certificate.

• Register HVAC equipment and enter related invoices.

• Complete job costing templates within 48 business hours and route for management approval. 

• Track permits through completion; schedule corrections and re-inspections when required.

• Serve as first point of contact for customer concerns and support customer service as needed.


 Job Close-Out 

• Finalize jobs by verifying accurate job summaries, signatures, payments, and financing steps. 

• Ensure materials and purchase orders are properly added and received. 

• Communicate with technicians regarding missing details or follow-up needs.

• Apply appropriate job tags and send final customer review communications. 

• For jobs on hold, follow technician notes to schedule return appointments and ensure invoices and work orders are accurate   before finalizing. 

Requirements

 

• Experience working both independently and in a team-oriented, collaborative environment. 

• At least 3 years of customer service or related experience. 

• 2 years of scheduling, planning, and/or coordination experience. 

• Strong written and oral communication skills. 

• Strong ability to prioritize. 

• Strong attention to details. 

• Ability to follow through while having strong time management.
