Position Summary

This position provides administrative support to the Procurement Department and includes direct support to the Purchasing, Product Development, Inventory, and QA teams. Additionally, the position requires close communication with all other areas of the business, including but not limited to: Sales, Account Management, Customer Service, Sales Operations/Pricing, Quality Assurance, and Operations.

Key Responsibilities

Procurement Execution & Purchase Order Management

  • Place purchase orders for inventoried items as directed by Procurement team managers 
  • Execute purchase orders for special and negotiated buys under direction of Procurement leadership 
  • Maintain and update the weekly Purchase Order queue, ensuring accurate ETD/ETA tracking in xTuple and Asana 
  • Proactively communicate with vendors and internal stakeholders regarding changes to ETD/ETA and order status 

Logistics Coordination & Vendor Management

  • Coordinate freight requests with the Logistics Team for FOB purchase orders and oversee shipment execution 
  • Ensure freight movements align with budget expectations and delivery timelines; escalate exceptions to management as needed 
  • Maintain accurate and up-to-date vendor records in xTuple and Supplier Matrix 
  • Support new vendor onboarding and setup processes 

Reporting, Systems & Data Integrity

  • Generate and distribute the monthly Purchase Orders Due In (PODI) report to Operations and Inventory teams 
  • Manage item number creation and maintenance across xTuple and FileMaker systems 
  • Ensure accuracy, consistency, and integrity of procurement and inventory data across systems 

Cross-Functional Support & Compliance

  • Support recall processes as needed, including coordination with vendors and internal Recall team 
  • Assist Quality Assurance and Product Development teams with Vendor Sample Calendar organization and maintenance 
  • Support oversight of Supplier Compliance Matrix and maintain vendor specification documentation 
  • Provide administrative and operational support to Procurement team managers 

Team Support & Coverage

  • Provide coverage and operational support during Procurement team member absences, including travel periods 
  • Collaborate cross-functionally with internal teams to support daily procurement and operational needs 

Problem Solving & Continuous Improvement

  • Apply job knowledge to identify issues, resolve problems, and recommend process improvements 
  • Support initiatives that enhance efficiency, accuracy, and overall procurement effectiveness

Minimum Qualifications

Required:

  • High school diploma required.
  • Minimum of 3 years’ experience working in an office environment. 
  • Experience in Microsoft Outlook, Word, and Excel required.
