The Office Assistant is a part-time role responsible for covering the front desk of the Parish office during assigned times.  Seasonally, additional hours will be required working with our Director of Community Engagement completed Outreach related work.  Duties will include planning and reporting related to the St. Margaret of Castello OP Family Center (SMOCFC) and may also support efforts related to building relationships with community-based organizations / donors and compiling community resource lists for housing and other assistance. 


Key Responsibilities

Front Desk

· Answer the phone and door, receiving guests at the Parish Office during regular office hours

· Assist with managing the Parish email system

· Assist with filing, translations (English to Spanish), sacramental forms and records, and other duties assigned by Parish leadership


Seasonal Duties in Outreach include:

St. Margaret of Castello OP Family Center

Operations

· Copy or stock intake forms (blank and pre-filled), sign-up sheets, volunteer forms, notices and labels for diaper repackaging. Keep all forms organized.

· Sort and shelve donations for Mother-Baby or food rooms, communicating with donors as needed

· Aggregate donations to be routed to thrift store / Samaritan House / WeeCycle and arrange volunteer transport

· Organize storage areas, maintain inventory, and move stock to Mother-Baby or food rooms as needed

· Coordinate with and schedule volunteers and arrange materials so volunteers can be productive in readying Mother-Baby and food rooms for open hours, filling in to complete volunteer stocking and organizing tasks as needed

· Coordinate appointments with and shop off-hours neighbors

Reporting

· Log donations using Excel and total donations by type

· Compile data for monthly diaper/wipes order to Marisol Family and stock deliveries

· Compile data for key indicators; upload files/data to data volunteer for tracking

· Store/organize electronic files in SharePoint

· Maintain and authenticate hold-harmless and similar volunteer forms

Planning

· Assist with organizing and implementing recognition and other events for volunteers and/or donors

· Update resource materials such as list of local food banks

· Monitor inventory of special-order items and communicate with staff as needed

· Create and maintain volunteer contact list by volunteer task

· Other duties as assigned 


Community-based Organizations

· Schedule meetings

· Maintain contact list for community-based organizations and donors

· Other duties as assigned 


Community Resources for Assistance

· Compile resource lists in digital and hard copy to provide information to neighbors requesting assistance

· Create master list of resources we offer to neighbors

· Other duties as assigned


Requirements

 

Qualifications

· Proficient in MS Office applications, especially Excel and Word; SharePoint; Teams; online browsers and search tools. 

· Knowledge of or ability to learn other systems / programs such as Flocknote and Canva

· Bilingual in English and Spanish, or fluent in one with good conversational skills in the other language 

· Strong communication skills

· Ability to lift up to 30 lbs, alone or with a partner 


Pay Range: $19.30-19.50/hour.
