The Legal Assistant provides high quality administrative support to a managing shareholder lawyer, associates, legal assistants, and other professionals at a leading El Paso law firm in multiple practice areas. The lawyers and professionals work in a team environment to meet Firm/client needs effectively and efficiently. Key Responsibilities Include:

  • Create, format, edit, proofread, and manage Word documents, Excel spreadsheets, and PowerPoint presentations.
  • Draft routine correspondence, forms, etc. under the supervision of an appropriate lawyer/professional.
  • Answer telephone and routine questions from clients and staff members and/or route calls to appropriate lawyer or staff member.
  • Assist with the managing lawyer’s calendar by scheduling appointments, client meetings, other meetings (external and internal), hearings, closings, etc.
  • Track, organize, and process reimbursements, invoices, and check requests.
  • Download, file, and maintain client files and records electronically with state and federal courts and agencies.
  • Works and coordinates with client in a courteous and professional manner.
  • Track and entire time in the firm billing software (Orion).
  • Run conflict checks, open new client matters, draft engagement letters and other required documents; provide guidance to lawyers so completed forms are submitted properly.
  • Open, prioritize, and distribute mail. Coordinate mailings, deliveries, copying and courthouse filings where appropriate.
  • Enter and manage work requests from lawyers.
  • Perform routine filing, photocopying, scanning, compiling, and distributing of documents; identify and coordinate available services provided by administrative departments such as office services, word processing, accounting, billing, and records.
  • Operates highly motivated and independently to ensure assignments, which may be complex in nature or require high-level production, are completed in an accurate and timely manner.
  • Produces a high volume of work assignments in an accurate and timely manner.
  • Perform clerical duties for non-legal departments, as needed.

Requirements


  • 1 or more years of experience as a legal secretary (required).
  • 2 or more years supporting lawyers and paralegals with administrative or client-related tasks (required).
  • Ability to work in a fast-paced environment with demonstrated ability to coordinate multiple competing tasks and demands.
  • Ability to communicate and coordinate in a professional manner with Firm clients.
  • Has attained proficiency in all of the core legal administrative assistant functions and has good technical and communications skills.
  • Detailed oriented and highly organized.
  • Ability to maintain the calendar for a high paced attorney.
  • Advanced knowledge of Microsoft Office Suite, include Outlook, Word, and OneDrive.
  • Experience with organizing documents or working with a document management system. The Firm currently uses Worldox.
  • Excellent verbal and written communication skills and professional demeaner.
  • Familiarity with legal terminology and documentation.
  • Superb attention to detail, grammar, and punctuation, and the ability to articulate thoughts and effectively present new ideas and findings.
  • Ability to work during the Firm’s core business hours 8:30 am to 5:00pm with flexibility for overtime, if needed.
  • Strong interpersonal and communication skills along with the ability to work collaboratively within a team.
  • Ability to manage and meet deadlines.
  • Ability to coordinate with attorneys, legal assistants, and administrative staff.
  • Bilingual (English and Spanish) preferred but not required.

Minimum Education:

  • High School Diploma or general education degree (GED)
  • Bachelor’s Degree (Preferred)
