JOB SUMMARY

Assist the Marketing Unit of the Administrative Services Department with scheduling of room usage, public displays, and calendars.

MAJOR TASKS

  • Review and recommend approvals for public meeting room reservations. Verify residency and/or collect room use fees. Return phone calls, emails, and schedule in-person interviews. Confirm meeting and programming room equipment requests and set-up diagrams and coordinate those needs with other departments. Maintain and report room use and attendance statistics. Assist staff with library event calendar entries as needed.
  • Assist with maintenance of public display cabinets and art gallery space. Screen applicants for cabinet and gallery displays, process documentation, and coordinate display set-up and take-downs. Gather collection and artist information for marketing materials.
  • Participate in preparation and distribution of monthly print program calendars for all departments using Adobe software.
  • Explore local and regional news sources, church bulletins, and community calendars for information related to the library and the Village of Oak Lawn, relevant to library services and of interest to the library’s marketing plan. Maintain files of clippings and of media contacts.
  • Duplicate and distribute library publications as needed or requested, laminating, cutting, and folding when indicated. Replace/replenish library display signage and promotional materials. Maintain the library’s public bulletin board per Board Policy.
  • Support unit personnel by proofing various materials prior to manager approval for public release. Perform paper inventory annually. Submit supply requests to Marketing Manager for approval.
  • Perform other tasks assigned by department supervisor.
Requirements

High school diploma required; Bachelor’s degree preferred; Proficient in Microsoft Office; Interest and ability in working with the public; Communicate effectively both orally and in writing; Strong interpersonal skills, interacting pleasantly and clearly in person, on the telephone, and through email; Schedule may include occasional evenings and weekends.
