Position Description: The Administrative Assistant provides cross-functional support to the Accounting, Human Resources, and Membership departments. This role is highly detail-oriented and member-facing, requiring excellent organizational skills, professionalism, and the ability to manage multiple priorities. The ideal candidate is adaptable, customer-service driven, and comfortable working in a fast-paced club environment.



This is a part-time position defined by less than 30 hours a week. 


  

Essential Job Functions: 

· Answer member inquiries via phone and email in a timely, professional manner 

· Assist with processing member payments, invoices, and basic account inquiries 

· Scan, file, and organize accounting documents; ensure proper routing to appropriate departments 

· Maintain accurate digital and physical records in compliance with company standards 

· Assist with data entry and reconciliation tasks as needed 

· Assist with employee housing inspections and documentation 

· Coordinate international staff check-in and check-out processes 

· Respond to member questions and provide general club information 

· Assist with maintaining accurate membership records and databases 

· Support membership communications, including emails and updates 

· Help administrative needs 

· Serve as a fill-in for amenity staff as needed, ensuring a seamless member experience 

· Provide front desk or office coverage during peak times or staff absences 

· Assist with internal communications and interdepartmental coordination 

· Manage incoming and outgoing mail, packages, and deliveries 

· Maintain office organization, supplies, and overall administrative efficiency  

· Complete all other tasks assigned by management

Requirements

  

Job Requirements:

Education: High school diploma or GED required.


Experience: Previous administrative experience or accounting experience is a plus. Customer service experience is preferred.


Skills: Strong organizational skills, excellent written and verbal communication skills, proficient in Microsoft Office, ability to handle confidential information with discretion. Detail orientated with strong problem-solving skills. Ability to work in a high volume fast paced environment.


Equipment to be used: Standard office machinery, POS system.


Supervisory Responsibilities: None.


Typical Physical Demands: Requires sitting, standing, bending and reaching. May require some lifting of up to 30 pounds. Requires manual dexterity sufficient to operate standard office machinery. Requires normal range of hearing and vision. Requires ability to function professionally in a challenging and demanding environment.
