Job Title: Donor Intelligence & CRM Coordinator

Reports To: Director of Resource Development
Position Summary
The Donor Intelligence & CRM Coordinator plays a critical role in strengthening the organization’s resource development efforts by managing and optimizing the Customer Relationship Management (CRM) system and delivering high-quality donor and community insights.
This position is not responsible for direct fundraising but serves as a strategic support role by equipping the development team with timely, accurate, and actionable intelligence on donors, prospects, and local business trends.
Key Responsibilities
CRM Management & Data Integrity
- Serve as the primary administrator for the organization’s CRM system
- Ensure data accuracy, consistency, and completeness across donor and prospect records
- Develop and maintain data entry standards, protocols, and training materials
- Regularly audit and clean database records to eliminate duplicates and outdated information
- Generate and manage dashboards and reports to support development goals
Donor & Prospect Research
- Conduct in-depth research on current and prospective donors, including individuals, corporations, and foundations
- Prepare donor profiles and briefing materials for leadership, board members, and development staff
- Track giving histories, affiliations, philanthropic interests, and capacity indicators
- Identify new prospective donors and partnership opportunities
Community & Business Intelligence
- Monitor and report on local economic and community trends, including:
- New businesses entering the region
- Business closures or relocations
- Property transactions and development activities
- Executive leadership changes, promotions, and key hires
- Provide regular briefings and written reports summarizing relevant developments
- Maintain a pipeline of emerging opportunities aligned with organizational priorities
Reporting & Strategic Insights
- Produce recurring and ad hoc reports to support campaign planning, donor engagement, and board communications
- Translate data into actionable insights to inform strategy and decision-making
- Collaborate with development staff to identify trends and gaps in donor engagement
Cross-Functional Collaboration
- Partner with marketing, finance, and program teams to ensure alignment of data and messaging
- Support event preparation with donor insights and attendance tracking
- Assist leadership with research and briefing materials as needed
Qualifications
Education & Experience
- Bachelor’s degree in nonprofit management, business, communications, data analytics, or related field (or equivalent experience)
- 2–4 years of experience in CRM/database management, research, or data analysis (nonprofit experience preferred)
Skills & Competencies
- Strong proficiency in CRM systems (e.g., Salesforce, Raiser’s Edge, or similar)
- Excellent research and analytical skills
- High attention to detail and commitment to data accuracy
- Ability to synthesize complex information into clear, concise reports
- Strong organizational and time management skills
- Discretion in handling confidential donor information
- Proficiency in Microsoft Excel and data visualization tools is a plus
