Job Overview:
The Accounts Payable Specialist is responsible for managing the company’s accounts payable operations, ensuring timely and accurate processing of invoices, employee travel and expense (T&E) reports, and corporate card transactions. This role plays a key part in maintaining strong vendor relationships, supporting employees with expense-related questions and needs, and ensuring compliance with company policies and internal controls. The Accounts Payable Specialist will partner closely with cross-functional teams to support efficient financial operations, contribute to month-end close activities, and identify opportunities to improve processes across accounts payable and expense management. This role is based in Austin, Texas, with a hybrid work schedule.
Key Responsibilities
- Review, code, and process vendor invoices in a timely and accurate manner
- Ensure proper approvals are obtained in accordance with company policies
- Prepare weekly payment runs (ACH, wire, check)
- Reconcile vendor statements and resolve discrepancies or billing issues
- Respond to vendor inquiries and maintain positive working relationships
- Monitor AP aging and ensure payments are made within agreed terms
- Assist with month-end close activities, including accruals and reconciliations
- Review and process employee travel & expense (T&E) reports
- Administer and reconcile corporate credit card transactions; follow up on missing documentation or policy exceptions
- Maintain organized and accurate records of AP, T&E, and credit card transactions
- Execute, maintain, and support internal controls to ensure compliance with audit and financial reporting requirements
- Support audits by providing requested documentation
- Identify opportunities to improve AP, T&E, and expense-related processes and increase efficiency
- Other projects as assigned
Qualifications:
- 2+ years of accounts payable or general accounting experience
- Strong attention to detail and accuracy
- Ability to manage multiple priorities and meet deadlines
- Proficiency in accounting systems (e.g., NetSuite, QuickBooks, SAP) and Microsoft Excel
- Strong communication and problem-solving skills
- Basic understanding of accounting principles
Additional Qualifications that are nice to have:
- Experience in a high-growth or fast-paced environment
- Familiarity with expense management and corporate card tools (e.g., Bill, Concur, Divvy, Expensify, Navan)
- Associate’s or Bachelor’s degree in Accounting, Finance, or related field
