Warehouse Associate
Description

 The Aviation Parts Warehouse Associate is responsible for the accurate handling, inspection, documentation, and shipment of aircraft parts and materials. This position plays a key role in maintaining inventory integrity, ensuring regulatory compliance, and supporting the operational efficiency of the warehouse in line with aviation industry standards. 


Parts Handling & Inspection

  • Accurately pull and stage aviation parts for orders and internal requests.
  • Inspect incoming and outgoing parts for damage, discrepancies, and airworthiness.
  • Document and report any irregularities or non-conforming parts per SOPs.

Documentation & Tagging

  • Create and attach appropriate part tags (e.g., trace, serviceable, unserviceable).
  • Record part details in inventory systems with accuracy.
  • Generate and maintain part history documentation in physical and digital files.

Imaging & Record Keeping

  • Take detailed, high-quality photographs of parts for system records and customer reference.
  • Ensure proper filing of inspection reports, photos, and certifications.

Packing & Shipping

  • Safely and securely pack aviation parts in compliance with industry shipping standards.
  • Generate shipping labels, waybills, and tracking documents.
  • Coordinate with logistics providers and internal teams to ensure timely dispatch.

Sales & Administrative Support:

  • Create and process sales orders in the inventory or ERP system.
  • Generate and issue customer invoices in a timely and accurate manner.
  • Coordinate with sales and customer service teams to ensure order accuracy and timely fulfillment.
  • Assist in updating part numbers, descriptions, and pricing in internal systems as needed.
  • Maintain accurate records of all transactions and warehouse documentation.
  • Process Improvements
  • Continually identify process improvements, develop plans to implement those improvements and communicate those plans to your manager for approval and implementation.

Inventory & Systems

  • Create and update spreadsheets and inventory control documents.
  • Assist with physical inventory counts and cycle counts.
  • Enter data into warehouse management systems (WMS)

Safety & Compliance

  • Follow all workplace safety procedures and wear required PPE.
  • Comply with FAA regulations and internal SOPs related to aviation parts handling.
  • Participate in safety training and maintain awareness of hazards.

Team Collaboration & KPI Support

  • Collaborate with cross-functional teams (procurement, QC, sales, shipping).
  • Support warehouse KPIs related to order accuracy, turnaround time, and inventory integrity.
  • Participate in continuous improvement initiatives.

Workplace Safety:

  • Adhere to OSHA and FAA safety standards.
  • Ensure compliance with company Safety Management System (SMS).
  • Identify, report, and mitigate workplace hazards and unsafe practices.
  • Promote a “Safety First” culture among all maintenance and inspection personnel.
  • Wear and enforce use of required personal protective equipment (PPE).

Team Support:

  • Maintain best practices and a positive working environment with all parties at the worksite.
  • Coordinate with other departments to achieve outlined goals.
  • Respond to communications (e-mails, meeting requests, Teams messages, etc.) set by team members in a timely and friendly manner.
  • Learn Smartsheet’s project management software and take ownership of assigned projects. Aid in the evolution of usage of this platform by spearheading best practices adoption.
Requirements
  • Minimum 1–2 years of experience in a warehouse, preferably in aviation or a regulated industry
  • Familiarity with aircraft parts and documentation
  • High school diploma or GED required.
  • Additional technical training or certifications in logistics or aviation (preferred)
  • Forklift certification

Working conditions

  • Warehouse environment with exposure to varying temperatures, noise, and physical activity.
  • Frequent use of ladders, carts, and material handling equipment.
  • May require occasional overtime, weekend, or holiday shifts based on operational needs

 Physical Requirements

  • Ability to lift, carry, push, and pull objects up to 50 lbs. regularly.
  • Manual dexterity for tagging, packaging, and data entry tasks.
  • Standing and walking for 8–10-hour shifts.
  • Use of visual and auditory senses to perform inspections and equipment use
  • Must pass an initial and reoccurring fit for duty exam 
  • Employment is contingent upon passing an initial pre-employment drug test and participation in the FAA drug and alcohol testing program. 
  • Must satisfactorily pass a pre-employment background check.
