JOB SUMMARY:

The Construction Billing Specialist is responsible for managing the billing process across multiple projects, ensuring accuracy, timeliness, and alignment with monthly progress. This ideal candidate will be organized and dependable. This position plays a key role in ensuring strong cash flow, clean customer accounts, and smooth coordination between operations, sales, and accounting. 


RESPONSIBILITIES & DUTIES:

  • Prepare and submit AIA G702/G703 progress billings, manage billing portals (e.g., Procore, Textura,   GCPay, Flashtract), resolve billing discrepancies and respond to internal and customer inquiries
  • Reconcile payments, prepare lien waivers, and supplier waivers
  • Ensure billing aligns with contract values, schedules of values (SOV), and project milestones
  • Track billing status and outstanding receivables
  • Review billing data for completeness, accuracy, and proper approvals
  • Reconcile customer accounts and research payment variances or short pays
  • Assist with AR aging reviews and follow up on open or unapplied items
  • Support month-end close activities related to billing and cash receipts
  • Maintain accurate records and documentation
  • Support audits, reporting, and internal controls as needed
  • Collaborate with accounting and operations teams to improve processes 
Requirements

QUALIFICATIONS:

  •  At least 3 years’ experience in construction accounting
  • Requires proficiency in Microsoft Excel, including functions such as SUM, IF, SUMIF, SUMPRODUCT, COUNT, COUNTIF, and XLOOKUP, as well as sorting and filtering data, removing duplicates, data validation, conditional formatting, and creating PivotTables 
  • Advanced Microsoft Excel skills are highly preferred
  • Basic understanding of accounting principles
  • Experience with accounting systems (e.g., QuickBooks, or similar) a plus
  • High attention to detail and accuracy
  • Strong organizational and time management skills
  • Ability to manage multiple projects simultaneously
  • Comfortable working in a fast-paced, deadline-driven environment
  • Strong communication skills (internal and client-facing)
  • Problem-solving mindset with a proactive approach
  • Strong follow-up skills
  • Intermediate to advanced data analysis skills
  • Background in subcontractor or general contractor environment preferred
