Description
We are seeking a hands-on Operations Manager to oversee daily branch operations, support billing workflows, and lead a small team of account managers. This role is central to keeping the office running smoothly, ensuring customer and vendor processes stay on track, and driving accountability across the administrative and customer support functions.
What You’ll Do
Branch & Office Operations
- Oversee day-to-day office operations to ensure efficiency and consistency
- Manage scheduling, office workflow, supplies, and incoming mail/document handling
- Support general administrative needs across the branch
- Ensure adherence to company processes and operational standards
- Serve as the operational point of contact for internal teams and visitors
Billing & Customer Documentation Support
- Oversee billing-related administrative processes to ensure accuracy and timeliness
- Scan, organize, and distribute incoming billing and financial documents appropriately
- Generate and send customer statements for outstanding balances (AR support function)
- Monitor outstanding customer balances and support follow-up communications
- Coordinate resolution of billing questions and basic account discrepancies
Vendor & Invoice Coordination (AP Support)
- Assist with routing and resolving vendor invoice issues and discrepancies
- Ensure timely communication between vendors and internal stakeholders
Team Leadership
- Supervise and support a team of Account Managers
- Provide day-to-day direction, coaching, and workload prioritization
- Ensure team members are executing tasks accurately, consistently, and on time
- Support performance management and team accountability
