Job Summary:

The Historic New Orleans Collection seeks an Executive Assistant. The Executive Assistant carries out responsibilities as delegated by the President/CEO. This position performs, coordinates, and oversees technical and office administrative duties and performs other duties throughout the Collection as needed.

Essential Duties and Responsibilities:

The below duties and responsibilities are essential core functions of this position. Other duties may be assigned as needed.

  • Timely and professionally facilitates communication flow by maintaining and managing contact databases, writing letters of response and generating certain donor acknowledgement letters, and in other means as appropriate.  
  • Effectively assists the President/CEO by answering and responding to telephone calls, arranging meetings, submitting expense reports and tracking expenses, maintaining the electronic calendar and assisting in all areas as required by the President/CEO.  
  • Professionally creates and formats documents for the Executive team.
  • Maintains executive office records by organizing and filing correspondence, project folders, board reports and materials, staff reports, and meeting notes.  
  • Attends meetings, takes minutes at meetings, transcribes minutes, and distributes and files as appropriate.
  • Provides or locates technical support for office equipment and maintains supplies needed for general operation.
  • Sets up and prepares for board and other meetings including document preparation, room reservation, catering, and procurement of any other assets required.  
  •  Manages travel for President/CEO.  
  •  Manages President/CEO Board memberships. 
Requirements

Job Qualifications:

Below are the minimum requirements necessary for this position.

  • Minimum of four (4) years of related experience working in a museum or comparable position. 
  • Excellent communication and customer service skills.  
  • Proven proofreading and writing skills, including proper English usage, spelling, grammar, punctuation, and business correspondence formatting. 
  • Exceptional organizational skills.  
  • Proficiency in Microsoft Office and other office related software tools (eg. Adobe Acrobat, Teams, Zoom).    
  • Ability to work as part of a team and collaborate with others as well as demonstrated ability to work independently.   
  • Ability to be flexible and responsive to an evolving work environment.  
  • Ability to meet deadlines. 
  • Exceptional attention to detail. 
  • Ability to maintain confidentiality and discreetness.

While performing the duties of this position, the employee is regularly required to remain in a stationary position, move throughout the properties, operate a computer and other office machinery, and position self to work at work station. This position consistently communicates with co-workers and others and observes, inspects, prepares and organizes documents and related materials.    

Salary Description
$63,600-$73,200 per year
