OVERVIEW 

The WPS Coordinator role facilitates digital asset management and supports workplace systems. Responsibilities include gatekeeping and support of the hub and the server, organizing and managing the storage, access, retrieval, dissemination and preservation of information with a focus on consistency of metadata and timeliness of ingestion of new assets. In addition, this position will support and assist Integration Manager in workflow and systems design and maintenance. 

ESSENTIAL DUTIES AND RESPONSIBILITIES  

  • Maintain and standardize asset metadata (taxonomy, tagging, collections) within the Hub  
  • Ensure timely and accurate ingestion of new assets  
  • Manage asset uploads and organization in Hub/Bynder with excellence customer service to end users and technical trouble shooting when needed 
  • Perform routine cleanup and maintenance of assets and collections  
  • Maintain organized server folders and files (backup support for WPS Program Manager)  
  • Oversee new employee photo process  
  • Maintain and update Monday.com boards to ensure consistency and data reliability  
  • Create recurring timelines 
  • Ensure accuracy, completeness, and standardization of board data  
  • Link assets to job numbers and maintain system connections  
  • Partner with Integration Manager to improve WPS tools and systems  
  • Support WPS team and cross-functional partners as needed

Full time position, in the office on Tuesday, Wednesday, Thursday with option to work remotely Monday and Friday

Position Overview

The Workplace Systems (WPS) Coordinator plays a critical role in managing digital assets and supporting workplace systems infrastructure across the organization. This position serves as a central gatekeeper for asset integrity—ensuring that information is organized, accessible, accurate, and consistently maintained across platforms.


This role is designed for someone who thrives on structure, precision, and order. Success requires meticulous attention to detail, a strong internal drive toward organization and data integrity, and the ability to collaborate effectively across teams to support system-wide excellence.


Key Responsibilities

Maintain and standardize asset metadata (taxonomy, tagging, collections) within the Hub

Ensure timely, accurate ingestion of new digital assets

Manage asset uploads and organization in Hub/Bynder, providing excellent end-user support and troubleshooting

Perform routine cleanup and maintenance of assets and collections

Maintain structured and organized server folders and files (backup support for WPS Program Manager)

Oversee and coordinate the new employee photo process

Maintain and update Monday.com boards to ensure data accuracy, consistency, and reliability

Create and manage recurring timelines and workflows

Link assets to job numbers and maintain system integrations

Partner with the Integration Manager to improve WPS tools, workflows, and system design

Collaborate cross-functionally to support team initiatives and operational needs
