Job Summary: Performs advanced administrative tasks using a computer, coordinates office operations for the Job Corps center, and uses sound judgment to resolve administrative issues while following established policies and Core Values.
Duties/Responsibilities:
- Prepare and format professional business correspondence, including letters, memorandums, reports, and charts using modern computer applications
- Draft and compose routine communications for leadership review and signature with accuracy and attention to detail
- Independently generate and maintain recurring reports to support organizational operations
- Manage electronic communications by sending, receiving, and organizing email messages efficiently
- Perform routine system backup procedures to ensure data integrity and security
- Maintain a secure and organized environment for computer equipment, data files, and office supplies
- Coordinate and participate in meetings and conferences by preparing materials, taking detailed notes, and sharing key information
- Support management with planning and executing special events and initiatives
- Establish, maintain, and safeguard confidential files and records in compliance with organizational standards
- Monitor inventory and order office supplies and equipment as needed to ensure smooth daily operations
Qualifications:
Minimum: Must have a High School diploma.
Preferred: Minimum plus Job Corps experience.
Knowledge:
- Able to work independently with minimal supervision
- Strong and accurate typing skills
- Ability to take clear and timely dictation
- Proficient in Microsoft Office and general computer use
- Solid understanding of office procedures and strong organizational skills
- Professional and effective communication with the public and officials
- Strong phone etiquette
- Attention to detail with the ability to proofread and correct errors
