Description

General Statement of Responsibilities: The Patient Services Representative serves as the first point of contact for patients, visitors, and staff. This role is responsible for greeting and assisting patients, scheduling appointments, collecting and verifying insurance information, and facilitating communication between patients and clinical staff. Work is primarily performed in the reception area and involves frequent interaction with patients, visitors, and staff in a fast-paced environment.

 

Knowledge, Skills, and Abilities:

  • Knowledge of general business office procedures
  • Excellent grammar, spelling, and punctuation skills
  • Proficiency in computer systems and standard office equipment including fax, scanner, and copier
  • Strong customer service and interpersonal skills
  • Ability to communicate clearly and professionally, both verbally and in writing
  • Ability to read, understand, and follow written and verbal instructions
  • Ability to organize, sort, and file materials using alphabetical and numerical systems
  • Ability to establish and maintain effective working relationships with patients, staff, and the public
  • Ability to work in a fast-paced, frequently interrupted environment
  • Knowledge of medical terminology preferred

 

Essential Duties and Responsibilities:

  • Greet patients and visitors in a prompt, courteous, and professional manner
  • Check in patients and verify or update demographic and insurance information
  • Schedule and maintain appointments in accordance with office scheduling policies
  • Answer incoming telephone calls, screen calls, take messages, and provide general information
  • Serve as a liaison between patients and clinical staff
  • Maintain accurate patient records and documentation
  • Scan, fax, copy, and file patient documentation as needed
  • Pull charts for upcoming appointments and maintain daily chart reports
  • Sort and distribute mail, medical records, and other correspondence
  • Screen visitors and respond to routine requests for information
  • Maintain a clean, organized, and professional reception and lobby area
  • Maintain strict patient confidentiality in accordance with HIPAA guidelines
  • Adhere to OSHA policies and procedures as they relate to the front office
  • Adhere to all compliance and regulatory requirements in accordance with clinic policies
  • Attend monthly staff meetings and other required meetings
  • Demonstrate punctuality and reliable attendance
  • Work within PMS and EMS systems as required
  • Perform related duties as assigned
  • Other duties as assigned

 

Physical Requirements:

  • Prolonged sitting in an office environment
  • Manual dexterity required for computer and office equipment use
  • Ability to lift up to 50 pounds

 

Qualifications and Experience:

  • High school diploma or equivalent required
  • Minimum of one year of experience preferred, ideally in a medical office setting

 

Work Environment:

Work is primarily performed in a reception area with frequent patient interaction. The environment may be fast-paced and occasionally stressful, with constant interruptions and interaction with patients who may be ill or distressed.
