Oilfield Witness deploys its expertise in using advanced imaging technology to reveal the invisible dirty secrets of pollution in the oil and gas industry. We leverage this evidence, alongside our expertise and research, to inform and activate impacted communities 

and policy makers – aiming to fast-track the phase out of fossil fuels and accelerate the transition to renewable energy. 


Scope: Oilfield Witness seeks a highly organized, detail-oriented Office Manager to support the organization’s day-to-day operations. This role is essential to ensuring smooth internal systems, effective coordination of travel and events, accurate financial tracking, and strong donor stewardship. The Office Manager will also serve as a key liaison with our fiscal sponsor, Partnership Project.


Job activities include, but are not limited to:

Administrative & Operations Support

  • Maintain and organize digital and physical files, ensuring accurate and accessible recordkeeping
  • Support general office operations, including scheduling, correspondence, and document preparation
  • Develop and maintain administrative systems to improve efficiency
  • Support maintenance of the organization’s database
  • Attend staff meetings 
  • Maintain and update team travel schedule and project deadline tracker 

Travel Coordination

  • Arrange domestic and international travel for staff and coordinate with journalists and partners, including trip planning and itineraries, flights, lodging, ground transportation
  • Track travel expenses and ensure compliance with organizational policies

Event Coordination

  • Assist in planning and executing meetings, convenings, and public events (virtual and in-person)
  • Coordinate logistics such as venue booking, catering, materials, and participant communications

Donor Stewardship

  • Prepare and send timely donor acknowledgments and thank-you communications
  • Maintain donor records and support basic development tracking systems in coordination with fundraising leads

Shipping & Logistics

  • Coordinate shipping of materials, equipment, and outreach items
  • Track deliveries and ensure timely distribution

Financial Tracking & Coding

  • Code and track organizational expenses and income in coordination with leadership and Partnership Project bookkeeping systems
  • Maintain organized financial records
  • Support budget tracking and documentation for grants and internal reporting

Fiscal Sponsor Liaison

  • Serve as primary administrative point of contact with Partnership Project 
  • Submit required documentation (e.g., invoices, expense reports, grant materials)
  • Track approvals, payments, and compliance requirements
  • Other duties as assigned


Requirements

 The successful candidate must demonstrate the following skills, experience, and competencies:

  • 2+ years of administrative or operations experience, preferably in a nonprofit environment
  • Strong organizational skills and attention to detail
  • Experience with expense tracking, bookkeeping support, or financial coding
  • Ability to manage multiple priorities and meet deadlines independently
  • Strong written and verbal communication skills
  • Proficiency with common tools (e.g., Google Workspace, Excel, Zoom; familiarity with accounting or CRM systems a plus)

The strongest candidates will also demonstrate the following skills, experience, and competencies:

  • Proficiency to communicate in Spanish (read/write) is preferred to communicate with core stakeholder groups

 

Compensation and Benefits:

The compensation range for this position is $26-$31/hour. This is a non-exempt, hourly position.

Salary Description
$26-$31/hr
