Job Title: Director of Facilities and Operations

Program/Department: Administration

Reports to: Chief Executive Officer

FLSA Status: Salary, Exempt

Supervisory Responsibility: Responsible for supervision of Maintenance Technician.

Position Summary: This position is responsible for overseeing the facilities and operations of all Greensboro Urban Ministry (GUM) properties. The responsibilities of this position include coordinating with contracted service providers, maintaining security and risk management, information technology, and managing special projects. 

Work Schedule: Monday-Friday. Must be flexible and able to report to work during peak hours of operation. 


Essential Functions:

Facilities/Operations:

  • Oversee property maintenance to ensure that all agency buildings, properties, agency vehicles, and equipment are properly maintained and in compliance with applicable laws.
  • Perform maintenance repairs in buildings owned and operated by GUM.
  • Responsible for recommending capital expenditures and acquiring bids outside of replacement schedule.
  • Meet with CEO as needed to discuss projects, project updates, budget concerns, expenditures, employee issues, etc.
  • Routinely conduct property inspections to ensure compliance and assess condition.
  • Receive and review feedback from staff on maintenance related items and follow up as needed to verify that work was completed by technician or service provider.

Contracted Services Management:

  • Manage all property and maintenance contracts and review annually to determine if contracts meet our needs and standards. Lead request for proposal process if we need to solicit for a new agreement or new service provider. Direct contracted projects to verify adherence to specifications.
  • Maintain and manage the replacement schedule bidding process and all contract agreements for replacement items.
  • Coordinate with HVAC contractor for repairs and/or replacement. Manage HVAC controls and energy management systems.
  • Work with pest control contractor to schedule all pest control services and ongoing bed bug treatments. 
  • Be available to meet with service providers for inspections and service needs.

Security/Risk Management

  • Make safety and security a priority. Lead opportunities for safety training and loss prevention by working with Assistant Executive Director, administration, and insurance providers.
  • Oversee and work with the security companies hired by GUM to keep properties secure. Manage security of buildings including keys, key box, alarms, cameras, and electronic access control systems.
  • Lead critical incident response and disaster planning process for GUM.

Information Technology:

  • Troubleshoot technology and phone system issues; contact IT and phone system support as needed.

Special Projects:

  • Collaborate with engineers, architects, and vendors and prepare specifications on needs regarding remodeling/renovation projects.

Other Functions:

  • Attend and participate in Greensboro Urban Ministry staff meetings.
  • Serve as lead staff representative of Property Committee meetings.
  • Other duties as the CEO and administration are deemed necessary.
  • Being on call after hours for emergencies, questions, and security issues that may arise 24 hours/7 days a week.

Equipment Used:

  • Telephone, computer, copier, printer, maintenance equipment, various tools, agency vehicles and warehouse equipment.

Working Conditions:

  • General office environment with exposure to computer screens.
  • Warehouse environment includes hot/cold temperatures, dust, and truck fumes.
Requirements

Education and Experience Requirements:

  • A bachelor's degree preferred in area of expertise.
  • 2-4 years of supervisory experience preferred.
  • 5 years of facilities operations management experience preferred.

License and Knowledge Requirements:

  • Valid driver's license.

Other Requirements:

  • Knowledge of property, kitchen, and warehouse equipment.
  • Knowledge of OSHA standards.
  • Ability to utilize and create documents and spreadsheets using Microsoft Office.
  • Speaking, standing, sitting, walking, driving, lifting, climbing, writing, keyboarding, organizing, problem solving, planning, interpreting data, and supervising others.

Salary: Salary is commensurate with the position requirements.
