Project & Risk Compliance Coordinator
Description

We're looking for a Project & Risk Compliance Coordinator to be the key connector between our Sales, Operations, and Finance teams. 

You'll own the critical window between a deal closing and a project kicking off, by making sure every job is set up correctly, every compliance document is in order, and every Project Manager has exactly what they need before the first nail is driven.


This isn't a background role. 

You'll be a key voice in how projects launch, how we manage subcontractor and insurance compliance, and how we uphold our safety and regulatory standards across Minnesota and Wisconsin. You'll sit at the intersection of systems and people: equal parts detail-oriented and collaborative.

What You’ll Do

Job Setup & Systems

• Own full job setup in Procore, Sage 300, HubSpot, and the Highmark App — cost codes, folders, workflows, permissions, the works

• Collect, verify, and upload all compliance documentation before a project goes live

• Catch and resolve data discrepancies across systems before they become someone else’s headache


Subcontractor & Insurance Compliance

• Set up subs and vendors in our systems and stay on top of agreements and annual renewals

• Review and maintain compliance with the MN 14-point inspection and insurance certificates

• Support the CFO on insurance audits and assist HR with GL claims

• Ensure all contracts meet MN and WI guidelines and lead annual contract reviews


Safety & Regulatory

• Maintain safety compliance programs — OSHA, Hazardous Waste, the AWAIR Program

• Keep business certifications and the company safety manual current

• Monitor state and local regulatory changes and ensure we stay ahead of them

• Track active business licenses across all operating states


Project Handoffs & Communication

• Lead the internal job start process — making sure PMs receive clean, complete, and accurate project files

• Flag missing info, compliance gaps, or risks before kickoff, not after

• Support training on job start requirements, compliance standards, and system workflows

Requirements

• 2+ years in construction coordination, compliance, project administration, or a systems-focused operations role

• Hands-on experience with Procore and Sage 300 CRE strongly preferred; HubSpot is a bonus

• Working knowledge of OSHA standards, insurance compliance, and subcontractor agreements

• Familiarity with MN and WI construction regulations

• Comfortable managing high volumes of data across multiple systems without losing accuracy

• A communicator who can work independently and bring people along with them

• Bachelor’s degree in Construction Management, Business, Operations, or related field — or equivalent experience is preferred. 

Salary Description
up to $65,000.00
