Twin Cities R!SE is a nonprofit 501(c)3 whose mission is to transform the lives of those impacted by racial or socio-economic barriers through Personal Empowerment, career training, and meaningful employment. Our 8-week career training programs provide participants with the skills needed to be successful on any job. Our training focuses on individual development, Personal Empowerment, Career Training, and the 21st Century Skills that today’s employers are looking for. Graduates of this program typically double or triple their annual income. Our career coaches help participants develop a career plan while providing them with the resources and placement connections needed to achieve their goals.

JOB TITLE: Executive Assistant

JOB PURPOSE:
The Executive Assistant provides administrative and executive support to optimize the day-to-day effectiveness of the President/CEO. This role primarily supports calendar management, scheduling coordination, email and correspondence organization, meeting logistics, and administrative follow-through. The position serves as a professional point of coordination for internal and external communication and requires strong organization, discretion, responsiveness, and attention to detail
PRIMARY DUTIES & RESPONSIBILITIES
- Serve as an administrative point of contact for internal and external communication on behalf of the President/CEO, ensuring timely follow-up and coordination.
- Draft, proofread, organize, and manage routine correspondence, calendar responses, meeting communications, and administrative documents on behalf of the President/CEO, upholding the highest standards of clarity, accuracy, and professionalism.
- Manage the President/CEO’s calendar, including scheduling and confirming internal and external appointments, coordinating meeting logistics, preparing necessary materials and assisting the President/CEO in time management.
- Provide administrative support for board and leadership meetings, including scheduling, meeting logistics, preparation of materials, and distribution of information as assigned.
- Coordinate meeting logistics, scheduling, reminders, and materials for leadership and organizational meetings.
- Maintain organized administrative systems and workflows that support efficient executive office operations.
- Organize and manage the President/CEO’s daily, weekly, and quarterly priorities, ensuring alignment with organizational goals and optimizing the use of executive time.
- Conduct research, track follow-up items, and assist with problem-solving on key issues requiring executive attention; provide thoughtful recommendations and draft appropriate responses as needed.
- Collaborate with the leadership team on special initiatives, projects, and events, offering administrative and strategic support to advance the organization's mission.
- Provide administrative support for organizational events, meetings, and special projects as assigned.
- Develop and maintain systems for filing and recordkeeping of organizational documents, board materials, and other confidential information.
- Assist with internal meeting coordination, communication distribution, and basic document or presentation preparation.
- Other duties as assigned.

SUPERVISION: N/A. This position does not provide supervision to any staff.
COMPENSATION AND BENEFITS:
- $26.37 to $29.26 per hour, depending on qualifications.

MINIMUM EDUCATION AND EXPERIENCE
- High school diploma or equivalent required.
- One (1) year of experience supporting organizational operations, coordination, project management, customer/client service, communications, administrative functions, or other professional work
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), virtual meeting platforms (Zoom, Teams), Adobe Acrobat, and cloud-based file systems such as Google Drive and SharePoint.
PREFERRED EDUCATION AND EXPERIENCE
- Associate’s degree, bachelor’s degree, or equivalent combination of education and experience.
- Experience providing support in a nonprofit, mission-driven environment.
- Experience supporting senior leaders, leadership teams, boards, committees, or cross-functional initiatives.
- Familiarity with generative AI tools and workplace collaboration technologies.

- Strong organizational, administrative coordination, and time management skills, including the ability to manage complex calendars, schedules, communications, and multiple concurrent priorities.

- Strong written and verbal communication skills, including the ability to draft clear, concise, and professional correspondence and reports.

- Ability to coordinate meetings and events, including scheduling, logistics, agenda preparation, materials distribution, and follow-up.
- Knowledge of information management systems, including shared drives, digital filing systems, and board portals.
- Proficiency using standard office technology and collaboration tools to support communication, scheduling, and document management.
- Ability to maintain discretion, confidentiality, and professionalism when handling sensitive information and executive communications.
- Ability to work independently, exercise sound judgment, and be solution-oriented.
PHYSICAL DEMANDS: Must be able to perform the essential duties of the position with or without reasonable accommodation:
- Ability to use a PC/laptop, requiring repetitive motion of fingers, hands and wrists.
- Required to occasionally move about in an office environment to access file cabinets, printers, etc., and remain in a stationary position for extended periods of time.
- Ability to lift light materials and equipment in the typical office environment (up to 15 pounds).
- Ability to be on video calls, with camera on, for all meetings.

- Work schedule: Occasional evenings and/or weekends will be required (workweek will be adjusted accordingly).
- Travel requirements: Position will be expected to travel throughout the Twin Cities metro area to attend meetings and other events.
- Location/structure of work: Position is hybrid; employee will be expected to work in the TCR office weekly.
