The Dave Thomas Foundation for Adoption (DTFA) is a national nonprofit public charity dedicated exclusively to finding permanent homes for the more than 140,000 children waiting in North America’s foster care systems. Created by Wendy’s® founder Dave Thomas who was adopted, the Foundation implements evidence-based, results-driven national service programs, foster care adoption awareness campaigns and innovative grantmaking.
STATEMENT OF PURPOSE
With support from the development analytics team, the development systems senior associate is responsible for supporting the administration optimization and strategic development of the Foundation’s customer relationship management (CRM) system and analytics ecosystem to inform strategic decision making and fundraising growth. This role serves as the technical and operational lead for the Foundation’s CRM, ensuring scalable system architectures, secure data practices and reliable data flows while enabling actionable insights through analytics and dashboards. The development systems senior associate collaborates cross-functionally to translate fundraising, marketing and program requirements into structured data models, automated workflows and reporting solutions that support decision making and operational excellence.
ACCOUNTABILITIES
1. Build and maintain the Foundation’s CRM infrastructure to support reliable, scalable donor and fundraising operations
- Support the configuration and ongoing administration of the CRM, including custom objects, properties, pipelines, workflows, automations and user permissions
- Build and maintain backend data structures and system architecture to support evolving organizational needs and decision making
- Develop and optimize workflows, automations and integrations to improve efficiency and data flow across systems
2. Manage CRM system operations and data integrity to ensure stability, reliability and effective daily functionality
- Enforce data governance standards to ensure accuracy, consistency, security and integrity of data across systems
- Oversee ongoing CRM administration including user access, system configuration updates and data flow across systems
- Troubleshoot and resolve issues related to CRM configuration, automations, integrations and connected systems
3. Build and maintain reporting tools, dashboard and KPI models to enable data-informed decision making
- Develop and maintain Qlik Sense dashboards, data models, reporting tools and KPIs to provide insights for development efforts
- Support teams in defining reporting needs, metrics and KPIs across the development operations department
- Drive system adoption and process improvement initiatives
4. Provide system support and training to ensure consistent use of CRM tools
- Provide training and day-to-day support to non-technical users on CRM functionality, automations analytics and reporting tools
- Develop documentation and guidance to support consistent system use and data entry standards
5. Perform other duties as assigned
KNOWLEDGE AND SKILLS

- Demonstrated experience working with CRM platforms, including system configuration, automation and user access management
- Ability to design and maintain CRM data structures and models that support reporting and operational need
- Experience developing dashboards, reports and analytical models using BI and data visualization tools (Qlik Sense, Tableau or Power BI)
- Demonstrated knowledge of process improvement, with the ability to streamline operations, optimize efficiency and improve data integrity through effective data cleansing and government practices
- Working knowledge of SQL, data transformation and data pipeline concepts (ETL/ELT)
- Excellent verbal and written communications skills, with the ability to work autonomously and in a cross-collaborative environment while optimizing team productivity
- Analytical and problem-solving skills, with a methodical approach to systems administration and operational process review, supported by a strong attention to detail
- Ability to translate business needs into practical, scalable technical solutions in a fast-paced environment
- Understanding of nonprofit development operations, including donor stewardship, fundraising processes, and accreditation practices, with the ability to support data structures that enable these functions
- Ability to maintain strict confidentiality with privileged information
EDUCATION AND/OR EXPERIENCE
- Bachelor’s degree in computer science, statistics, data analytics or a related field
- 4+ years of experience in CRM administration, data operations or analytics, HubSpot preferred
- Experience with BI tools (Qlik Sense preferred, or Tableau/Power BI equivalent)
- Knowledge of data privacy regulations (GDPR, CAN-SPAM, etc.) preferred
- Experience in nonprofit, fundraising or donor data environments preferred
