 General Description

The Field Marketing & Events Coordinator supports the planning and execution of INDIGITAL's field marketing program and industry events. This role is execution-focused and detail-driven, owning the operational components that ensure each event is well-prepared, well-staffed, and well-documented; playing an integral role in connecting field activity to brand awareness and lead generation across the revenue team.

The Field Marketing & Events Coordinator is responsible for event logistics including shipments, inventory, on-site materials, show services, run-of-show development, scheduling, budget tracking, and contributing to post-event reporting. The role is also responsible for ordering and inventory management of swag and branded materials for trade shows and events, working from creative direction and brand standards provided by the Content & Digital Media Specialist. 

The role works in close coordination with the Marketing Operations & Communications Manager on field marketing strategy, the Content & Digital Media Specialist on brand alignment, and Sales and Market Managers for on-site event coordination.

Duties, Responsibilities, and Activities

Event Execution & Logistics

  • Support end-to-end execution of tiered events on the INDIGITAL events calendar.
  • Manage event logistics including shipments, inventory, booth components, signage, registration lists, hotel blocks, and on-site supplies.
  • Build and maintain event briefs, “Know Before You Go” documents, run-of-show materials, and event checklists in ClickUp.
  • Track events budget, vendor deliverables, and shipment timelines; communicate status and surface risks to the Marketing Operations & Communications Manager.
  • Travel to events and provide on-site execution support as needed.

Partner & Joint Event Coordination

  • Coordinate logistics for partner-hosted, joint, and off-site events including hospitality dinners, customer roundtables, and partner sponsored activities.
  • Serve as the operational point of contact for partner counterparts on shared events, aligning on registration, signage, materials, and on-site execution.
  • Track partner deliverables and shared event costs; document outcomes alongside standard event reporting.

Swag & Branded Materials

  • Order and manage swag inventory for trade shows, conferences, and events, including vendor coordination, quantity forecasting, and shipment tracking.
  • Work from approved creative direction, designs, and brand standards provided by the Content & Digital Media Specialist, who owns INDIGITAL's brand alignment.
  • Maintain swag inventory records and coordinate replenishment as needed.
  • Ensure all branded materials at events reflect approved brand standards.

Attendee Research & Event Preparation

  • Research target accounts and registered attendees ahead of each event to support Sales, Market Managers, public safety leadership, and business objectives.
  • Coordinate with the Content and Digital Media Specialist on event-related social.
  • Develop pre-event, during-event, and post-event email promotions in HubSpot.
  • Coordinate with the Marketing Operations & Communications Manager on email copy, segmentation, and approved messaging.

Data Capture & Post-Event Reporting

  • Capture attendance, engagement, and lead data during and after each event.
  • Partner with the Marketing Operations & Communications Manager to ensure event data is recorded accurately in HubSpot and aligned with attribution workflows.
  • Contribute to email performance reports (open rate, click-through) and incorporate into post-event reporting to help determine event effectiveness.
  • Summarize event outcomes, attendance, engagement, leads, and key takeaways, and contribute to post-event reporting.
  • Document budget, what worked, what didn't, and future event recommendations.

  • Proficiency in Microsoft Office and Google Workspace.
  • Familiarity with project management and CRM platforms (ClickUp, HubSpot).
  • Curiosity about AI tools and how they can support event preparation (Claude).

Additional Requirements

  • Willingness to work a flexible schedule as needed to meet departmental objectives; must remain accessible via communication device and coordinate coverage when unavailable
  • Be prepared to complete any assigned task as required by your supervisor and in accordance with the satisfactory completion of all job duties and responsibilities
  • Occasional meetings or planning discussions may be scheduled outside of regular business hours
  • Valid driver's license required
  • Must maintain a professional appearance and clean workspace, including appropriate attire and safety equipment when required
  • Must demonstrate the ability to work with people at all levels of the organization
  • Present a clean, neat, businesslike workspace and appearance, wear appropriate attire and safety equipment (as needed)

Education

  • Bachelor's degree in Marketing, Communications, Business, Hospitality Management, or related field experience preferred.
  • Internship or part-time experience in event coordination, marketing, hospitality, or trade show support preferred.
  • Exposure to public safety, telecommunications, or B2B technology is a plus.

Key Performance Indicators

  • Accurate, on-time delivery of event logistics, shipments, and on-site materials.
  • Consistent execution of swag and branded materials in alignment with approved brand standards.
  • Clean event data capture and timely post-event reporting in HubSpot.
  • Reliable follow-through on assigned tasks and proactive communication with internal stakeholders.
  • Strong cross-functional team coordination across Marketing and Sales.
