Description

The Senior Legal Assistant supports the General Counsel and the broader legal function of Westwood. This role manages a wide range of legal, real estate, commercial, and transactional matters and serves as a key operational partner to leadership, business teams, and outside counsel. The ideal candidate brings deep paralegal expertise, sound judgment, and the ability to independently manage complex work with discretion, precision, and a strong service orientation.

Requirements

Transactional and Real Estate Support

  • Support attorneys, leadership, and business teams on real estate, commercial, and transactional matters throughout the full project lifecycle.
  • Assist with acquisition due diligence, document review, and closing coordination, including managing closing checklists and transaction records.
  • Support LOI-to-closing process management, including title review, survey review, and transaction documentation.
  • Prepare, route, and track documents for signature, notarization, and completion; administer DocuSign and related e-signature workflows.
  • Document Drafting and Management
  • Draft, review, revise, and proofread a wide variety of legal and business documents including contracts, leases, correspondence, and commercial agreements.
  • Maintain organized files, deadline calendars, and document management systems in compliance with firm records protocols.
  • Conduct legal, business, and factual research as needed to support matters and inform decision-making.
  • Licensing, Compliance, and Administration
  • Manage and track business licenses and registrations across multiple jurisdictions in support of firm operations.
  • Assist with employee and office administration matters in coordination with HR and executive leadership.
  • Provide high-level administrative support to the General Counsel and C-suite executives, including scheduling, correspondence, document preparation, and meeting coordination.
  • Collaboration and Process Improvement
  • Communicate effectively with internal teams, outside counsel, clients, vendors, and other transaction participants.
  • Train, mentor, and support team members on administrative processes, document management, and office procedures.
  • Identify and support process improvements to increase accuracy, responsiveness, and operational efficiency within the legal function.


Required Qualifications:

  • Significant experience (typically 5+ years) as a paralegal, legal assistant, or in a comparable legal administrative role; prior experience in a law firm or in-house legal department strongly preferred.
  • Demonstrated experience supporting real estate, commercial, and transactional legal matters.
  • Strong document drafting, revision, and proofreading skills with exceptional attention to accuracy and detail.
  • Experience with settlements, title review, survey review, and transaction documentation.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), DocuSign, and document management platforms (e.g., Litera).
  • Excellent written and verbal communication skills with the ability to interact professionally with executives, outside counsel, and external parties.
  • Demonstrated ability to manage multiple priorities, meet deadlines, and work independently in a fast-paced environment.
  • High degree of professionalism, discretion, and sound judgment when handling confidential information.


Preferred Qualifications:

  • Paralegal certificate or associate’s/bachelor’s degree in paralegal studies, legal studies, or a related field.
  • Experience in the engineering or professional services industry.
  • Familiarity with multi-state business license and registration compliance.
  • Experience supporting executive-level leadership with administrative and operational responsibilities.
  • Prior experience training or mentoring administrative or paralegal support staff.
  • Notary Public commission (active or willingness to obtain).
