Description
SUMMARY
The Events Coordinator is a part-time position averaging 25 hours a week, and a key member of the Advancement Team responsible for planning, organizing, and implementing fundraising and community events for the school system. This position is also responsible for coordinating and managing the Upper Campus CPF (Covenant Parent Fellowship). The Events Coordinator reports to the Director of Advancement.
ESSENTIAL FUNCTIONS
- Responsible for planning, oversight, and management of events sponsored by PRCA Advancement and the Upper Campus CPF (Covenant Parent Fellowship)
- Serves as a liaison between Advancement and the Grammar Campus CPF and South Campus CPF.
- Coordinates and cultivates PRCA volunteer development and identifies best practices for secondary schools. Initiates new strategies for community engagement.
- Consults and coordinates with the Director of Advancement on the vision for school system-wide events based on the purpose/goal of each event
- Oversees all details of event planning and logistics and delegates tasks among volunteer committees, including post-event evaluations
- Manages all event-related budgets and maintains management of cash and deposits from events or fundraisers
- Manages special event software systems
- Collaborates with the Advancement Team to engage all constituencies through the coordination of design, printing, and mailing of event materials as well as social media and website promotions
- Collaborates with the Director of Advancement on sponsorship opportunities and prospective sponsors
- Cultivates and strengthens partnerships with new and existing vendors
- Researches resources, makes site visits, and leads pre-event planning meetings when necessary to help make planning decisions
Requirements
REQUIRED QUALIFICATIONS
- Has solid and demonstrable event planning experience
- Is a creative people person who can catch the vision and cast the vision
- Has ability to take initiative and work independently; must possess the ability to manage multiple priorities and tasks
- Simultaneously works additional weekend and evening meetings and events, as needed
- Possesses positive volunteer and vendor management skills
- Is well-organized with delegating and decision-making skills
- Demonstrates the ability to work with evolving systems and structures, and the ability to be flexible in adapting to changing environments and regulations
- Possesses excellent written, verbal, and interpersonal communication skills
- Demonstrates high integrity and accountability with exceptional attention to detail and accuracy
PHYSICAL REQUIREMENTS
- This position requires standard amounts of verbal and written communication
- Specific vision abilities required by this job include close vision, color vision, and the ability to adjust focus.
- This role requires working extended hours during events and the ability to lift objects weighing up to 15 pounds.
- Have sufficient mobility and agility of both arms to support event setup needs and have the ability to bend, stoop, and stand for long periods.
