Position Overview:

The Executive Assistant serves as a key member of the administrative team, ensuring the efficient operation of executive and board functions. This role is responsible for coordinating meetings, preparing reports and correspondence, managing records, supporting organizational projects, and serving as secretary to the Board of Directors.


The ideal candidate is proactive, trustworthy, highly organized, and capable of managing multiple priorities in a fast-paced environment while maintaining strict confidentiality.


Position Hours: This position is full-time and on-site in Bismarck, ND. Hours worked are open for personal choice between 7:00 am and 6:00 pm, and 8 - 9 hour shifts per day. 


Position Pay Range: This position is salaried and compensation ranges from $54,080 - $65,000 per year, depending on experience level. 


 What You'll Do:

  • Provide high-level administrative support to the CEO and Executive Leadership Team.
  • Coordinate and support Board of Directors meetings and activities.
  • Prepare agendas, meeting materials, minutes, reports, and correspondence.
  • Arrange executive travel and accommodations.
  • Manage executive communications and prioritize incoming correspondence.
  • Maintain official organizational and Board records.
  • Support clinical privileging processes and continuing education recordkeeping.
  • Complete transcription and special projects as assigned.
  • Assist with organizational initiatives that strengthen Heartview's mission and operations.

Requirements

Qualifications:

  • Bachelor's degree in Business Administration or a related field (preferred), High school diploma, GED, or equivalent (required).
  • Minimum of five years of executive assistant, administrative assistant, or related experience.
  • Exceptional verbal and written communication skills.
  • Strong organizational and time-management abilities.
  • Ability to maintain confidentiality and professional discretion.
  • Proficiency in Microsoft Office Suite and other office technologies.
  • Ability to type at least 50 words per minute or write in shorthand format.
