Rate: $40,000 - $42,000

Shift:  Monday through Friday 8:00AM - 4:30PM

JOB SUMMARY

The Administrative Assistant provides daily administrative support to the Fiscal department to effectively carry out the multi-faceted duties and responsibilities required to efficiently provide service to our clients and the community


ESSENTIAL DUTIES:

  • · Provides a friendly and compassionate first point of contact with visitors and building partners.
  • · Performs administrative tasks such as answering phones and email inquiries, data entry, copying, filing, and ordering of office supplies.
  • · Performs general bookkeeping work, which may include entering data and maintaining records, preparing invoices, and collecting supporting documents of office expenses, revenue, expenses for reimbursement or credit card billing backup.
  • · Performs general clerical duties.
  • · Acts as liaison for the Fiscal department in routine administrative matters.
  • · Performs a wide variety of recurring office procedures such as mail handling, maintaining inventory of office supplies, phone, and email inquiries, and preparing correspondence, etc.
  • · Organizes and maintains all files and records and disseminates information as necessary.
  • · Prepare concise reports as requested.
  • · Assist other team members on an as-needed basis.
  • · Actively participates in supervision sessions, periodic team meetings, and training.
  • · Acts as backup for other administrative positions.
  • · Performs other duties as assigned.
Requirements

 

JOB REQUIREMENTS

  • · High School diploma or equivalent.
  • · Two years’ prior administrative experience required.
  • · Prefer candidate with prior experience in a non-profit setting.
  • · Knowledge of modern office practices and procedures and general office equipment.
  • · Proficient with Microsoft Office applications, especially Excel.
  • · Ability to learn databases, and other systems.
  • · Must be detailed oriented with good organizational skills and ability to multi-task.
  • · Must be capable of accepting responsibilities and prioritizing work and working under pressure.
  • · Must be flexible with time required to perform job functions and meet deadlines with the ability to work independently.
  • · Must have superior communications skills, oral and written, applied in a courteous and professional manner as well as excellent interpersonal skills.
  • · Ability to make mature and prudent decisions.
  • · Ability to maintain strict confidentiality and utmost discretion in all matters.
  • · Ability to anticipate the needs of the programs and act promptly in response to them.
  • · Current driver’s license required. Ability to legally operate a motor vehicle and provide own transportation.
