Executive Administrative Assistant - Leadership Team
Description

The Executive Administrative Assistant provides high-level administrative support to the Leadership Team and works closely with the organization’s administrative support staff on general administrative functions and activities of the office.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Provides high-level administrative support and assistance to the Leadership Team
  • Provides clerical support when needed to assist administrative staff with assigned administrative 
  • duties such as answering phones, sorting and distributing mail, and preparing documents
  • Performs clerical and administrative tasks including drafting communications, schedules, reports 
  • and other documents for senior staff
  • Arranges travel and accommodations
  • Coordinates meals for meetings and coordinates company-wide team member events
  • Extends hospitality to visitors, team members and other guests to the office or company
  • Participates and is an active member of the Employee Appreciation Committee
  • Performs office tasks including maintaining records, ordering supplies, and performing basic 
  • finance support
  • Creates and administers budgets for office supplies, equipment, and contract services
  • Identifies opportunities for cost savings and improvements in assigned areas; recommends and 
  • implements policy or process changes as needed.
  • Prepare and coordinate Board reports and meetings (quarterly)
  • Handle companywide communications across the Brubacher Family of Companies
  • Manages company-branded apparel
  • Coordinates employee service award program
  • Supports other related, varying needs of assigned departments and staff
  • Performs additional duties as assigned by the Leadership Team and others


EDUCATION and/or EXPERIENCE:

  • Associate degree in office administration or related field preferred.
  • At least 2+ years of related experience required
