The Data Manager works in conjunction with Coalition staff to design, develop, and maintain the Coalition’s data systems. The Data Manager is responsible for generating reports for both internal and external purposes, including formal periodic reports for government agencies as well as private funders, and for all Coalition departments as needed and requested. The Data Manager works to maintain system and data integrity, security, and accessibility for appropriate staff. The Data Manager also communicates regularly with staff to identify and correct any problematic issues with existing database structures. The Data Manager performs all job duties consistent with the mission and goals of the Coalition for the Homeless.
DUTIES & RESPONSIBILITIES
The Data Manager shall:
1. Assist in the overall maintenance of the Coalition’s Programs and Advocacy departments’ data in Bonterra’s ETO database and other formats, including but not limited to, files maintained on the Coalition's shared servers;
2. In collaboration with department heads and identified team members, build, develop, and modify reports, and extract data in support of the organization’s many reporting requirements, grant deliverables, and advocacy goals;
3. Establish productive and collaborative working relationships with staff to capture programmatic and advocacy efforts effectively and accurately in ETO and other tracking systems;
4. Create and maintain protocol guides for staff to access information as needed;
5. Serve as a staff resource to identify, problem solve, and answer questions regarding general data management needs and help resolve system issues;
6. Assist with training on data entry and reporting for new staff or when changes to data systems are implemented and provide ongoing support to Coalition database users;
7. Supervise Data Analyst by providing support needed and ensuring the accuracy of the data for the tasks assigned;
8. Assist with tasks related to various department workflows such as:
a. Uploading data to HUD’s Homeless Management Information System (HMIS) Awards system;
b. Producing preliminary data utilized for quarterly and annual funding requirements and assisting program staff in cross- referencing databases, where necessary and applicable;
c. Identifying, modifying, and/or replacing existing databases to better align with department needs;
d. Managing flow of incoming data to the Coalition from the Department of Homeless Services (DHS) and other third parties, and ensure that data is properly recorded and circulated;
e. Regularly checking the sources of public data relevant to the Coalition’s advocacy work; capturing, organizing, and managing relevant data identified; and communicating the same to Coalition staff;
f. Generating materials such as geographical maps to support program and advocacy work;
g. Creating dashboards to provide staff with individualized, at-a-glance summaries; and
h. Support Coalition staff by providing the data needed to respond to various inquiries.
9. Develop and maintain thorough and up-to-date understanding of ETO and other systems used by the Coalition by utilizing contracted support services, viewing webinars and attending relevant classes or conferences offered by Bonterra or other applicable providers;
10. Compile and ensure the accuracy of data reported on the Coalition’s website; and
11. Perform all other duties as may be assigned by direct supervisor or designee.
- At least two years of database administration experience required;
- Expertise in Microsoft Excel highly preferred;
- Knowledge of Bonterra Efforts to Outcomes (ETO) database, including ability to design and run complex reports therein and manage updates, highly preferred;
- Proficiency in SQL, R, and/or Python highly preferred;
- Experience with Power Automate and with data visualization tools such as Tableau or PowerBI highly preferred;
- BA/BS preferred;
- Solid understanding of the principles of database design and architecture and use of tools such as MS Access also desired;
- Exceptional oral and written communication skills required;
- Must be well-organized, detail-oriented, able to work independently, able to meet strict deadlines, flexible, able to triage among competing priorities, and able to work across multiple departments in a supportive and team-oriented manner.
