As the Senior Executive Assistant, you will be supporting the CEO /Founder directly, with backup support for the President as needed. This role keeps the Office of the CEO running: calendar, travel, follow-ups, board meeting logistics, and the hundred small things that keep a fast-moving company from dropping the ball. This person will learn the ins and outs of the company, be able to predict needs and not wait to be asked. They will see what’s coming and handle it before it’s an issue.
This role has a wide range of responsibilities, one day you are coordinating a board dinner and working with investors' offices to lock a meeting date. The next day, you are ordering equipment for the shop or driving across town to pick something up. Every task, big or small, gets the same level of care. What you’ll do
- Manage the CEO's calendar with sound judgment and authority weighing competing priorities ensuring the CEO’s time consistently goes toward the highest-impact work.
- Coordinate all aspects of executive meetings, including scheduling, agendas, meeting materials, logistics, attendee communications, meeting minutes, and follow-up on action items.
- Serve as the primary point of contact for the Office of the CEO, coordinating communications with board members, executives, employees, customers, business partners, and external stakeholders.
- Draft, proofread, and coordinate with internal and external communications teams on behalf of the Office of the CEO, including customers, staff members, and partners.
- Prepare agendas, meeting notes, and follow-up action items, working closely with Comms teams.
- Monitor commitments, deadlines, and deliverables, providing proactive and professional follow-up to ensure timely completion of action items across the organization, including executive leadership.
- Anticipate needs before they're spoken: prep materials before they're requested, flag conflicts before they collide, book the thing before anyone asks.
- Book flights, hotels, and ground transportation across our multi-state footprint, building itineraries that account for priorities on the ground.
- Handle purchasing and errands: online orders, local pickups, shipping between facilities.
- Coordinate leadership meetings, company events, and executive offsites.
- Track strategic initiatives, executive priorities, and cross-functional projects, ensuring milestones, deadlines, and deliverables remain on schedule.
- Maintain strict confidentiality with sensitive business, financial, and personnel information.
- Conduct research, gather information, and prepare summaries or briefing materials to support CEO and executive decision making and strategic initiatives.
- Improve administrative processes and help create organizational efficiencies.
- Perform other duties and special projects as assigned in support of CEO, President and organizational priorities.
Minimum Qualifications
- 3+ years of experience providing direct support to a CEO, Founder, President, or other C-level executive in a fast-paced organization.
- Proven ability to handle highly confidential business, financial, personnel, and strategic information with discretion.
- Demonstrated experience managing complex executive calendars, scheduling priorities, and domestic travel logistics.
- Read situations quickly, and solve problems before they're assigned to you.
- Judgment and discretion are critical in this role. The incumbent will be required to sign an NDA.
- Exceptional organizational skills with a proven record of managing multiple competing priorities while consistently meeting deadlines, you love being organized, nothing gets missed.
- Excellent written and verbal communication skills, including drafting professional correspondence and meeting materials on behalf of the CEO, must be correct the first time.
- Ability to prioritize competing tasks and adapt quickly in a fast-paced environment.
- Strong proficiency with Google Workspace, Microsoft Office, and virtual meeting platforms.
- Ability to work independently with minimal supervision.
- Valid driver's license, reliable vehicle, and willingness to run local errands.
- Based in the Reno area or willing to relocate; this is an on-site role.
Preferred Qualifications
- Bachelor's degree in Business Administration or related field.
- Experience supporting C-level executives in a high-growth or manufacturing environment.
- Experience supporting Boards of Directors, investor relations, executive leadership teams, or their offices.
- Project coordination or operations support experience.
- Familiarity with manufacturing, operations, logistics, or startup environments.
- Experience managing complex domestic executive travel with multi-location scheduling and rapidly changing calendars and priorities
