Job Summary
The Sales Administrator provides administrative, reporting, and data support to the Commercial/Sales team. This position is responsible for maintaining accurate CRM information, preparing recurring sales reports, tracking sales performance, and supporting leadership with reliable data used to manage the business.
This role is ideal for someone who is analytical, proactive, highly organized, and comfortable working with data. The Sales Administrator should be able to identify missing or inaccurate information, follow up with Sales Representatives and leadership to have it corrected, and independently manage recurring reporting deadlines.
Essential Job Duties
• Maintain accurate and complete sales, customer, opportunity, and pipeline information within the CRM system.
• Review CRM data regularly to identify missing, incomplete, duplicate, or inaccurate information and follow up with Sales Representatives or leadership for correction.
• Prepare and distribute daily, weekly, and monthly sales reports, dashboards, scorecards, and performance updates.
• Compile and analyze sales data to identify trends, activity levels, pipeline movement, and other information requested by Commercial Leadership.
• Create and maintain Excel reports using PivotTables, XLOOKUP/VLOOKUP, IF statements, formulas, and other data-analysis tools.
• Perform data mining and organize sales information into clear, accurate, and useful reporting for leadership.
• Track sales performance and assist with commission reporting and quality-control reviews.
• Assist with CRM administration, including new Sales Representative setup, access, and ongoing data maintenance.
• Support Sales Representatives and leadership with reporting, customer information, presentations, and other administrative needs.
• Maintain recurring reporting schedules and ensure required information is completed accurately and on time.
• Communicate with Sales Representatives and leadership regarding outstanding information, reporting discrepancies, and required follow-up.
• Assist with improving sales reporting, data accuracy, and administrative processes.
• Maintain confidential company, customer, and sales information.
• Perform other job-related duties as assigned.
Qualifications & Skills
Must Have
• Two (2) or more years of experience in Sales Administration, Sales Operations, Commercial Operations, Business Analytics, or a similar role.
• Advanced Microsoft Excel skills, including PivotTables, XLOOKUP/VLOOKUP, IF statements, formulas, and data analysis.
• Hands-on experience working with a CRM system; Acumatica preferred, with experience in Salesforce or similar systems considered.
• Experience with data mining and creating sales reports, dashboards, or performance reporting.
• Strong analytical skills with excellent attention to detail and accuracy.
• Ability to independently manage recurring assignments and deadlines.
• Proactive approach to identifying missing or inaccurate data and following through until corrected.
• Strong written and verbal communication skills with the ability to work comfortably with Sales Representatives and leadership.
• Ability to work independently, learn quickly, and manage multiple priorities.
Preferred
• Power BI or similar dashboard/reporting experience.
• B2B sales experience, preferably within a service-based organization; industrial or environmental services experience is a plus.
• Experience with commission reporting or sales performance tracking.
