Description

The Quality Control Specialist is a key member of the Quality team responsible for conducting operational audits, verifying compliance with established procedures, supporting quality investigations, and coordinating corrective and preventive actions.

This position works closely with site leadership, Operations, Customer Service, and other cross-functional teams to promote process consistency, continuous improvement, and customer satisfaction across assigned locations.

Essential Duties and Responsibilities

Auditing and Process Verification

  • Conduct a minimum of five warehouse audits per week across assigned sites.
  • Conduct a minimum of five computer or system audits per week to verify documentation accuracy, system compliance, and adherence to established processes.
  • Perform and document routine Verification and Validation (V&V) audits.
  • Conduct photo verifications based on established site-specific requirements and targets.
  • Clearly document audit findings, communicate identified gaps, and follow corrective actions through completion.
  • Partner with site leadership to review audit findings and establish appropriate corrective action plans.

Non-Conformance Reports and Investigation Support

  • Review customer and internal Non-Conformance Reports (NCRs).
  • Coordinate with the responsible department, which is accountable for conducting the investigation and providing the necessary findings and supporting documentation.
  • Support the responsible department by helping gather records, photographs, system information, and other relevant evidence.
  • Review investigation findings for accuracy, completeness, and alignment with available evidence.
  • Assist the responsible department with identifying root causes, contributing factors, corrective actions, and preventive actions.
  • Draft preliminary NCR responses based on the findings provided by the responsible department.
  • Maintain the following NCR completion targets:
  • Responsible department investigation completed within three business days.
  • Quality Control Specialist review completed by the fourth business day.
  • Manager review and approval completed by the fifth business day.
  • Ensure each NCR clearly identifies:
  • Quantix accountability
  • Responsible party or department
  • Claim details
  • Investigation findings
  • Root cause and contributing factors
  • Corrective and preventive actions
  • Management review status
  • Partner with site leadership to schedule and conduct NCR-related standdowns, training, or retraining.
  • Document employee participation and track assigned actions through closure.
  • Escalate delayed or incomplete investigations, missing documentation, and unresolved quality concerns to the appropriate manager.

Procedures, Training, and Continuous Improvement

  • Create new procedures or work instructions as needed based on operational requirements and assigned priorities.
  • Update existing procedures and work instructions when changes are needed.
  • When updating procedures:
  • Transfer the document to the current approved template.
  • Develop or update the corresponding written knowledge test.
  • Develop or update the applicable competency assessment.
  • Confirm that all related documents are accurate and properly controlled.
  • Assist with the creation of one training video per month, as resources and operational support are available.
  • Organize and support training or retraining resulting from audits, NCRs, procedural changes, or identified performance gaps.
  • Monitor assigned quality actions and follow up with responsible team members until closure.
  • Identify recurring issues and recommend improvements to procedures, training, systems, or operational controls.
  • Maintain accurate, complete, and timely quality records.
  • Perform other duties as assigned.
Requirements

Required Skills and Qualifications

  • High school diploma or equivalent.
  • Previous experience in quality assurance, quality control, auditing, warehousing, logistics, or a related operational environment is preferred.
  • Working knowledge of operational workflows, quality control practices, auditing principles, and corrective action methods.
  • Ability to review investigation findings, evaluate supporting evidence, and identify missing or incomplete information.
  • Strong critical-thinking, problem-solving, and organizational skills.
  • Strong written and verbal communication skills.
  • Ability to communicate professionally with employees, site leadership, customers, and cross-functional partners.
  • Ability to manage multiple assignments, deadlines, and site priorities.
  • Strong attention to detail and commitment to accurate documentation.
  • Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
  • Ability to learn and use company quality, warehouse, training, and reporting systems.
  • Ability to work independently while maintaining effective communication with the Quality team and site leadership.

Preferred Qualifications

  • Experience conducting warehouse, operational, process, or system audits.
  • Experience supporting non-conformance or customer complaint investigations.
  • Familiarity with root cause analysis, 5 Whys, corrective actions, and preventive actions.
  • Experience creating procedures, work instructions, training materials, or competency assessments.
  • Experience working in a warehouse, packaging, logistics, manufacturing, or distribution environment.

Success in this position will be measured by:

  • Timely completion and quality of assigned audits.
  • Accuracy and completeness of audit and NCR documentation.
  • Timely review and processing of NCRs.
  • Effective coordination and follow-up with responsible departments.
  • Timely follow-up and closure of corrective actions.
  • Quality and effectiveness of procedures, training materials, and competency assessments.
  • Consistent communication with site leadership and responsible departments.
  • Identification and escalation of recurring or high-risk quality concerns.
  • Contribution to improved process compliance, operational performance, and customer satisfaction.
