About the Role - We are seeking a   seeking an experienced, highly organized, and client-centric Senior Client Service Associate  to play an integral role in supporting our clients and growing practice. This position is designed for an established wealth management professional who can independently manage sophisticated client service needs, take ownership of operational workflows, and serve as a trusted resource to both clients and advisors. 


The ideal candidate brings strong knowledge of wealth management operations, excellent client communication skills, sound judgment, and the ability to anticipate needs rather than simply react to requests. You will work closely with advisors and clients to ensure service needs are handled accurately, proactively, and with the high level of care expected within a relationship-driven wealth management practice.

Responsibilities

  • Serve as a primary point of contact for day-to-day client service needs, building trusted relationships through responsive, thoughtful, and highly personalized support.
  • Independently manage client onboarding and ongoing account servicing, including new accounts, asset transfers, distributions, beneficiary changes, account maintenance, and coordination with Charles Schwab.
  • Facilitate client money movements accurately and securely while following established firm, custodian, and compliance procedures.
  • Own client service requests from initiation through completion, proactively monitoring outstanding items, resolving issues, and keeping clients and advisors informed along the way.
  • Partner closely with advisors to prepare for client meetings, organize relevant account information, document next steps, and ensure follow-up items are completed.
  • Maintain accurate and organized client records, workflows, and documentation within Wealthbox CRM.
  • Anticipate client and advisor needs, exercise sound judgment when navigating complex or time-sensitive situations, and identify opportunities to improve the overall client experience.
  • Collaborate across the team as a knowledgeable resource on client service and operational processes, providing guidance and support to less-experienced team members as appropriate.

Qualifications

Required Qualifications

  • 4+ years of experience in wealth management, investment management, financial services, or an RIA environment, with meaningful client service and account operations responsibilities.
  • Demonstrated experience independently managing client onboarding, account maintenance, asset transfers, distributions, money movement, and related service workflows.
  • Experience working directly with clients and supporting advisors in a high-touch, relationship-driven environment.
  • Strong understanding of wealth management account types, custodial processes, documentation requirements, and client service best practices.
  • Exceptional written and verbal communication skills, with the professionalism and confidence to interact directly with clients, advisors, custodians, and external partners.
  • Highly organized and detail-oriented, with the ability to manage multiple priorities, deadlines, and client requests accurately and independently.
  • Proactive, solutions-oriented approach with strong judgment, discretion, and the ability to take ownership of requests through resolution.

Preferred Qualifications

  • Experience within an independent RIA, wealth management firm, family office, or similar advisory environment.
  • Experience with Charles Schwab Advisor Services and Wealthbox CRM or comparable wealth management platforms.
  • Experience supporting high-net-worth individuals and families and familiarity with financial planning processes.
  • FINRA Series 7, Series 66, Series 65, or other relevant securities licenses are a plus but not required.
  • Bachelor's degree in business, finance, financial planning, or a related field preferred; equivalent professional experience will also be considered.
