Position Overview:

Ayers Saint Gross is seeking an Accounting Assistant with 3-5 years of experience. The Accounting Assistant will have full responsibility for daily accounts payable processing, cash receipts posting, and hands-on support for the accounting team.


Responsibilities:

  • Process daily accounts payable invoices
  • Reconcile and resolve accounts payable vendor discrepancies and credits
  • Set up new vendors and consultants in Deltek; obtain W-9s, certificates of insurance, and perform TIN matching
  • Prepare annual 1099s
  • Ensure sales and use tax compliance
  • Post daily cash receipts; apply cash received to open client accounts receivable
  • Process payments to vendors, consultants, and employees
  • Review and process employee submissions for out of pocket expense reimbursements and company issued credit cards
  • Import, process, and reconcile monthly credit card transactions
  • Educate employees to prepare expense reports and credit card statements in Deltek
  • Perform monthly general ledger review
  • Assist accounting manager with gathering year end audit information
  • Process and reconcile petty cash transactions
  • Collaborate with the accounting team on various initiatives
  • Interpret, follow, and communicate firm policies and expectations related to employee travel and expense guidelines
Requirements
  • Strong working knowledge of accounts payable and receivable
  • Strong experience with general ledger accounts and proper coding
  • Proficient computer skills using accounting software and Microsoft Excel (Deltek a plus)
  • Strong interpersonal skills to work with employees and vendors
  • Strong problem-solving skills to reconcile expense reports, vendor statements and to answer general ledger questions
  • Must be detail oriented, have strong organizational skills, and be able to work independently
  • Demonstrate initiative and ability to anticipate potential problems before they occur

Education and Experience:

  • Must have 3-5 years of relevant experience
  • Must have experience with Deltek Vision and / or a similar automated payables system
  • Associates degree is a plus
  • Experience in the architect / engineering environment is a plus
