Communications and Human Resources Assistant

Scope: Performs highly technical, responsible and confidential administrative and other duties for and on behalf of the Vice President for Communications and Human Resources and Director of Human Resources. 

Essential Functions: 

Performs administrative duties in support of the Vice President for Communications and Human Resources.

  • Proofreads, corrects and produces letters in final form.
  • Schedules appointments and answers calls, as needed.
  • Answers letters and routes mail not requiring the Vice President’s attention. 
  • Assists Vice President with preparations for board and council meetings, vouchers and other forms. 
  • Coordinates travel arrangements.
  • Serves as back up to receptionists as needed.
  • Coordinates the recording of The Association’s auto-attendant greeting and updates to on changes to Association hours.  
  • Creates professional acknowledgement and other recognition letters.
  • Processes invoices and expense reports.

Performs administrative duties in support of Director of Human Resources.

  • Assists with recruitment, onboarding, and departures.
  • Assists with time sheet and benefit premium processing.
  • Coordinates monthly birthday celebrations and all staff meeting logistics
  • Schedules appointments and answers calls, as needed.
  • Processes invoices and expense reports.

Manages 12 Under 12 selection committee process.

Processes confidential matters and either resolves or refers to appropriate personnel.

Researches, coordinates and sends correspondence related to special requests that include, but are not limited to special birthday or anniversary greetings for former students, requests from teachers for promotional items. 

Coordinates online updates to The Association’s Tribute Exhibit for Flag Officers and other recognition categories. 

Assists Communications department with projects as needed.

Participates and provides input on various Association-wide activities which may include:

  • Actively contributing to efforts to achieve donor growth goal of 100K by 2020.
  • Providing on-site event support for Board and Leadership Council Meetings.
  • Participation on internal event and task committees.
  • Participation in Association events including, but not limited to, TNT, Ring Delivery, Reunions, Aggie Ring Orders, Distinguished Alumni Gala and Game Day events, as needed.   
  • Represents The Association as needed at events.

Acts as an ambassador for The Association by meeting Team Expectations; supporting The Association’s fundraising, branding, and communications efforts; and fostering relationships with former students, current students, parents, faculty, staff and friends of Texas A&M.  Occasional other duties as assigned.

Required: High school graduate or any equivalent combination of training and experience supplemented by business courses with specific training in the use of computer and Microsoft Office.

Preferred:  Associate’s or Bachelor’s Degree.


Required: Prior work experience in a professional office environment.

Preferred: Experience working within the Texas A&M University environment.  


Required: Ability to operate a keyboard.  Frequent use of video display terminal. 


Required: Working knowledge of standard office equipment. 


Required: Strong written communication skills.  Keyboarding and communication skills.  Word-processing and spreadsheet skills.
