Accounting Assistant

Performs data entry or import for all cash receipts, payables, data entry required for certain account reconciliations and selected journal vouchers as assigned.  Performs miscellaneous office activities in accordance with The Association’s policies and procedures.  

Essential Functions: Performs specific tasks in support of accounting initiatives.

Import or complete data entry for expense vouchers, cash receipts, vendor invoices, employee expense reports and employee BOA expense reports.

  • Perform data entry and create invoices for customers.
  • Accept and sign cash receipts from departments.
  • Complete daily check and cash deposit.
  • Assist with scanning of invoices and organizing scans in computer files and with filing of all accounting items and entering dates in applicable control logs.
  • Process check runs (Accounts Payable).
  • Prepare invoices for customers requiring billing.
  • Email out credit card statements.
  • Complete multiple monthly and quarterly journal voucher input.
  • Assist with various monthly and quarterly account reconciliations.
  • Process mail and route items timely.
  • Ensures new vendors are properly created and that a W-9 is on file if necessary. 
  • Assist with 1099 process.
  • Export quarterly management reports. Assist staff with basic inquiries requiring MIP software. 
  • Complete quarterly data entry for Century Club inventory review and Buck Weirus Award inventory.
  • Assist with monthly review of collections.
  • Assist needs of internal customers.
  • Update internal processes as needed.
  • Assist with maintaining Accounting mailbox and calendar.
  • Assist with 100K by 2020 goals of the Accounting department.
  • Various office administrative duties.
  • Other duties as assigned.

Participates and provides input on various Association-wide activities which may include:

  • Actively contributing to efforts to achieve donor growth goal of 100K by 2020.
  • Providing on-site event support for Board and Leadership Council Meetings.
  • Participation on internal event and task committees.
  • Participation in Association events including, but not limited to, TNT, Ring Delivery, Reunions, Distinguished Alumni Gala and Game Day events, as needed.   
  • Represents The Association as needed at events.

Acts as an ambassador for The Association by meeting Team Expectations; supporting The Association’s fundraising, branding, and communications efforts; and fostering relationships with former students, current students, parents, faculty, staff and friends of Texas A&M.  Occasional other duties as assigned. 


Received: Controller and Staff Accountant and Accounting Assistant II on occasion.



Required: High school graduation or any equivalent combination of training 

and experience supplemented by work experience or business courses with specific training in the use of  Microsoft Word, Microsoft Excel, personal computers, scanning and web based software.

Preferred: 2+ years experience in a professional work environment.


Required: 1-2 years experience in a professional work environment.

Preferred: Prior experience in an accounting office.


Required: Ability to operate a keyboard.  Frequent use of video display terminal.  Ability to speak clearly.  Ability to operate 10-key.


Required: Working knowledge of standard office equipment.


Required: Ability to work in a professional environment and multi-task projects. Effective oral and written communication skills.  Working knowledge of Microsoft Excel and Microsoft Word.  Keyboarding and communication skills and attention to detail. Ability to learn Accounting software and web based reporting systems. Must be willing to work as a team player with customer satisfaction as a priority.  Ability to organize concurrent projects and manage time.  Ability to interact with a diverse population and be a liaison to all departments with a positive attitude.  Willingness to work overtime during peak periods.
