Purpose Of Position 


The Associate Property Manager and Marketing Coordinator will assist the Property and Marketing Teams with daily tenant and vendor activities as well as coordination of Park West marketing events and business development for our portfolio. This position is based on-site at our lifestyle center, Park West in Peoria, AZ. The position reports to the Property Manager and the Business Development Manager. This position will be expected to communicate directly with the Marketing, Asset Management and Accounting Departments. Time will be split 50/50 between Property Management and Marketing/Business Development. An ideal candidate will achieve results through teamwork, effective management of time and others, be detail-oriented with good follow through, be proactive and will take initiative in our fast-paced, ever-changing environment.


Job Duties/Responsibilities


Associate Property Manager


Property Operations – Proactively engage in all aspects related to operation and performance of each asset. Tasks include, but are not limited to:

  • Complete a daily property inspection at Park West. 
  • Develop a daily inspection checklist and review with PM weekly. 
  • Resolve any issues noted on inspection within 24 hours or if the issue is larger within 30 days. 
  • Prepare all service contract within 3 days, interface with legal to ensure the contract and contract checklist is fully executed within 5 business days. 
  • Read vendor contracts and scopes of work to ensure work is completed per contract. 
  • Coordinate set-up of all new vendors with accounting, including W-9’s. 
  • Collect and manage compliance of Certificates of Insurance for all vendors. 
  • Log and report roof leaks within 12 hours of notice and follow up with vendor to monitor repairs Follow up with tenant advising when the roofing company is anticipated to make repair and coordinate access to the lease space. 
  • Daily communication with on-site Security, Janitorial and Landscaping vendors to ensure the upkeep of the property. 
  • Notify vendors of an issue immediately, follow up on resolution of the issue within 24 hours with further follow up based on the time frame given by vendor to resolve the issue. 
  • Work with Property Manager to obtain multiple bids from vendors when work is over a certain threshold. 

Tenant Relationship and Management - proactively manage tenants including all credit issues and administer the resolution of all defaults within the portfolio. Tasks include, but are not limited to: 

  • Build a relationship with existing tenants. 
  • Ensure receipt of accurate Certificate of Insurance documents from tenants
  • Fulfill tenant work orders. 
  • Review aging report weekly. Contact past due tenants as least once per month. 
  • Ensure payments are applied correctly and prepare cash applications. 
  • Send late letters and demand letters to tenants within time frames outlined in lease agreements. 
  • Work with Property Manager on annual operating budgets and CAM Reconciliations. 
  • Review updates to the rent roll for new leases and amendments. 
  • Prepare and send tenant memos to tenant no less than three days prior to event (individual tenant violation, upcoming events, fire inspections, etc.). 
  • Complete internal paperwork required for a tenant move in and move out. 

Marketing/Business Development


Marketing – Collaborate with the Business Development Manager on planning and execution of all Park West events. Tasks include, but are not limited to: 

  • Act as onsite point of contact for event planners and participating tenants. 
  • Oversee event staff. 
  • Coordinate property owned equipment for events. 
  • Represent Park West/CIRE at community events and meetings including Peoria Chamber, Glendale Chamber, City of Peoria and other designated committees and organizations. 
  • Own retailer communications/participation for marketing at Park West. 

Business Development – Manage the portfolio monument signage program as well as handling contract preparation and oversight of all other ancillary deals with the goal of achieving the sales goals of the portfolio. Tasks include, but are not limited to:

  • Identify opportunities for signage revenue, working with tenants and co-owners to lease sign panels on existing or potentially new monument and pylon signs. 
  • Manage all signage license agreements & renewals.
  • Work with Business Development to create a strategy on each asset in portfolio. 
  • Create and maintain Master Sign plans on each asset in the portfolio. 
  • Work with Business Development to create a contract request from the deal points provided.
  • Ensure deposits required in License Agreements are received prior to possession or start date. 
  • Ensure all Licensee’s or Tenants have current COIs per the terms of the License Agreement. 
  • Ensure License Agreement is fully executed, and payment made prior to taking possession of premises. 
  • Research opportunities for new Business Development on an individual property or portfolio basis. 

Additional tasks and projects as needed.  

Requirements

 

Position Competencies

  • Ability to solve problems and deal with a variety of variables in unique situations where only limited standardization exists.
  • Detail oriented and able to maintain a high quality of work under pressure.
  • Ability to read and interpret legal documents such as commercial leases, CC&R’s, listing agreements, management agreements,      loan agreements and service contracts.
  • Familiarity with real estate financial statements including profit and loss statements, balance sheets, cash flow statements      and variance reports.
  • Exercise sound judgement in providing recommendations to leadership and when managing tenant expectations. 
  • Proficient in commercial real estate, specifically property management. 

Job Experience Qualifications

  • Bachelor's degree or equivalent combination of experience, course work, and/or certifications. Preference for course of study in business, finance, or marketing. 
  • 3+ years of experience in commercial real estate (retail, industrial, office), sales, marketing, and event management.
  • Intermediate to advanced computer skills, including proficiency with MS Office Suite. Effective excel skills are essential for      success in this role (data analysis, pivot tables, etc.). 
  • MRI and Nexus experience is a plus. 
  • This is an on-site position that requires flexibility to cover some evening/nights and weekends. 

  

Reporting Structure


Position reports directly to the Executive Vice President of Property Management and secondarily reports to Business Development Manager.

  • Exercise of strong leadership and supervisory skills in the management of contractors and property vendors.
  • Maintain high standards of professionalism in all interaction with tenants, including timely response to all tenant inquiries.
  • Demonstrate diligent and timely follow through on assigned task areas. 
  • Ensure all tasks are completed accurately and thoroughly.
